Adding flexible availability preferences for your team

What's New ✨

Team members are now able to state when they prefer to work by adding when they are available, not just when they are unavailable.

The new ability for team members to add in their availability will tie in with all the same touch points for managers scheduling shifts meaning there will be no changes to how you schedule. Managers will still see a warning when someone is being scheduled for a shift that clashes with when a team member has indicated a preference to work or not.

Why? 🙋‍♀️

Availability makes it easier for certain kinds of team members to keep their availability up to date, such as casual staff members or people who don’t work full time hours and it may be easier and faster to indicate when they are available vs unavailable.

Making this process easier for employees will mean you’ll have more data available when looking to find the best fit for a shift.

How ✅

  • Sign up to the beta here to get this added to your Deputy install today
  • Wait for general release which will be added to Deputy account incrementally from May.
  • Make sure that you and your team have the latest version of our iOS and Android apps

New Employee API available now

We are thrilled to announce a built from the ground up brand new employee API to enhance your ability to integrate with Deputy and provide seamless connectivity for your applications. We've designed this API to be more secure, and more efficient to give you a smooth developer experience every step of the way when building an integration to Deputy.

What's new?

Dramatic reduction in API requests required

On average with the old employee API it would take twelve individual requests before an employee was ready to use in Deputy (ie. ready to be scheduled, paid etc). We've cut this down in most cases to a single request by adding new options to the API such as having the option to add multiple workplace links to an employee in the initial request, stress profiles, employment agreements etc.

Bulk importing

The API now supports the ability to bulk import multiple employees in a single request. So not only do you have fewer requests per employee, but you can also bulk your requests to gain even more efficiency.

Field masking

One of the big concerns when dealing with employee data is data considered personally identifiable information. Often when holding data like that you have other compliance requirements to consider. To assist with this we've implemented field masking into the API. This allows you to define the exact data fields you want in a response to ensure you don't receive any data you don't want or need in your application.

Easier employee updates

Along with field masking, we allow you to define which fields to specifically target when updating employees. It might be that you have a minimum payload that contains four or five elements, however with our new update, you can specifically tell the system which field has changed, to ensure other elements remain untouched.

How can I get it?

The employee v2 API is now available on request and will be rolling out to all Deputy installations soon. If you are a developer of a product that already integrates with Deputy, or are building one you can apply to get this enabled on your developer instances here. We've published public documentation around the new API as well which you can view by clicking the See the Docs button below

Feedback

We'd love to hear from you about your experiences with the new Deputy employee API. Feel free to email us at apisupport@deputy.com.

Pay Comparison Report

What's new ✨

Have you ever wanted to reconcile what your team has been paid with what they would have earned on an industrial award? The Pay Comparison report allows you to do this!

This report takes your employees recorded time (via our timesheets), and recalculates them according to any of our industrial awards or your custom terms.

Why 🤔

More and more legislation is requiring businesses to ensure their employees are 'better off' on their respective agreements and salaries than they would be compared to an individual award - this report gives businesses another tool to help determine if they are compliant.

How to use it 🤓

You can find the Pay Comparison Report in your reports section!

Simply enter your parameters and click Create:
Your report will generate in the background and you'll receive an email when its done - just click download to get it in Excel format!

Click here to read more about how to use it

What's coming soon

This feature is still in BETA & still in active development. Look out in the coming weeks for:

  • Defined outer limits - calculate when your employees have gone over specified amounts of overtime and penalties each pay period
  • Reporting by pay period - for easier viewing
  • More filters - to break down your employee groups even more.

Why? 🤔

At a glance, stacked shifts can show that an employee has multiple items, from shifts through to leave

Shift popovers allow you to reschedule shifts via drag and drop with ease

Why 🤔

As part of Deputy's ongoing work to provide a faster, better scheduling experience, these upgrades offer a better experience from day one but also allow us to provide exciting new features like agreed hours with many more to come

[Enterprise Only] Refreshed People Profile!

What's new ✨

Who doesn’t love a fresh new look? The People tab and employee profiles have a new look and feel. We have redesigned it for better navigation and so you can find & edit the information you need quicker. We’ve also reorganised and decluttered a few existing sections:

  • Profile includes personal details, employment details (where they work, training, pay, working hours), journals
  • Scheduling will have everything related to shifts, unavailability and leave
  • Activity includes news feed

Why 🤔

We've revamped the experience to give a faster, more intuitive experience to users, with improved workflow and a 'what you see is what you edit' philosophy, reducing the clicks you need to see your data.

How to use it 🤓

The Help Articles below are easy to follow and guide you through the new experience:

Sales Per Hour in Business Insights

What's new ✨

In early 2020, Deputy introduced the business goal metric Labor percentage to help manage your labor cost with the Sales to get more profit.

We know however that for businesses to run optimally and smart 😎, it’s also crucial for managers to improve the efficiency of their business by gaining insight into employee productivity.

So we are excited to introduce a new business goal metric - Sales Per Hour (SPH).

This can be accessed within Business Insights Summary and viewable as:

  • Forecast/Budgeted SPH :  Deputy Forecast Sales / Budgeted Hours
  • Scheduled SPH :  Forecast Sales / Scheduled Shifts’ Hours
  • Actual SPH:  Actual Sales / Actual Timesheets’ Hours

Business Insights with “Sales per hour” in place will help you:

  • Understand how your business is performing by observing key metrics day by day , week by week,  or month by month
  • Share the budgeted Sales per hour as a business goal with your team for increased productivity and planning out schedules accordingly.
  • Make scheduling adjustments during the day by comparing Scheduled vs. Actual vs. Budgeted SPH to either reduce or increase the labor demand.
  • Last thing, you can choose either one or both of Labor % and SPH to monitor and optimize your business performance in BI Summary.

How to use it 🤓

Kiosk apps running on iOS 12 devices will no longer receive updates

What's new ✨

From March 2022, businesses using Apple devices running iOS 12 will no longer be able to download new updates of the Deputy Kiosk app.

Why 🤔

Apple continuously releases features that make developing apps simpler, quicker, more reliable and secure. Supporting devices that run iOS 13+ means we will have all these benefits as we improve the Kiosk app.

It will also allow us to release the Shift Pulse (team engagement) feature to the Kiosk app 🙂😐☹️

Things to note ☝️

  • Existing businesses with a device on iOS 12 will still be able to use the current version of the Kiosk app installed & there will be no downtime on the older versions as we go through this transition. However, it will no longer be supported via our help channels. We strongly encourage you to upgrade to iOS 13+ if supported by your device.
  • Users on iOS 13+ will continue to receive new versions of the iOS Kiosk app as we make updates.
  • This does not affect the Android Time Clock app.
