Does Not Deduct Leave Balance Option: Improvement to the new Deputy Leave Accrual Engine

What

We have built a new option in the leave policy builder that allows businesses to set policies that don’t accrue leave to also not deduct.

Why


Today, when team members make requests against a leave policy today there is always a deduction from the leave balance. This means that many balances go into negative values and are displayed more prominently to team members and managers. For many businesses they want to use certain leave policies to track requests but not necessarily deduct from a balance. This is common for sickness and other personal leave policies.

How

This option is now available to all accounts which have the new leave management engine enabled on their accounts and can be configured to be ON by any System Admins. It can be found in a new policy or an existing policy by navigating to the Does Not Accrue option within a leave policy. Please note that this change does not stop businesses from editing employee balances manually; balances can still be edited manually from the team members profile.

How do I use these new features?

Deputy Premium customers now have self-service access to the new Fair Workweek features by navigating to Location Settings > Scheduling > Consent and selecting their local jurisdiction, and then applying FWW pay rates to the applicable employees in the employee profile. Enterprise customers can reach out to Deputy Support to have these features enabled.

Updates to the Deputy Integrations Marketplace now live

What's new ✨

We've made some changes to the integrations marketplace inside Deputy to make it easier for you to know whether an integration was built by Deputy or not. This helps you know whether you can expect to setup the integration directly in Deputy, or whether you will need to do it inside the third party application.

Integrations which have been built by Deputy now have a tag of Deputy inside their application tile.

Integrations which have been built by a third party developer now have a tag of 3rd Party inside their application tile.


Along with this we have also made a change on the search functionality. When you search for an application inside the Deputy marketplace, we now connect to Zapier to see if the application is in the Zapier marketplace. For those unaware, Zapier is a middleware application that connections thousands of different applications with each other and Deputy has had an integration with Zapier for a number of years now.

When you perform a search results from Zapier will also now be included with the tag Zapier.

Clicking on this tile will take you to Zapier to help guide you through the process of getting Deputy connected to this application. With this change, we've added thousands of applications to our marketplace overnight and will bring more visibility than ever to our Zapier integration and the wide array of options it offers you when trying to solve business and integration problems.

Why 🤔

We've found sometimes users are confused with where an integration with Deputy needs to be setup, either in Deputy itself, or from a third party application. By directly labelling whether Deputy built the integration or not, it gives a clear indication as to where you will need to set the integration up. Along with this, including Zapier apps when searches are performed, gives visibility that there may be an alternate way to achieve what integration you are looking to setup.

How to use it 🤓

This change is live in the Deputy marketplace now so the next time you visit the integrations marketplace in your Deputy install, you will see these changes present.

Regular working hours can now be hidden from the schedule

What's new ✨

We have introduced a new business setting enabling you to hide regular working hours from the schedule! 

You may also know regular working hours as agreed hours or working hours - this is set to change in the product soon, with regular working hours being the unified term to describe agreements with team members on which regular days or hours they work. 

Why 🤔

We know that some businesses on Deputy do not use regular working hours for scheduling purposes. For these businesses, hiding regular working hours from the schedule can help reduce visual noise when scheduling. 

How to use it 🤓

As a system administrator, click on your name on the top right of the Deputy web app. Click on Business settings > Schedule and turn off the setting Show regular working hours on schedule

Once the setting is turned off, managers across the business should no longer see information related to regular working hours on the schedule. You can continue to use regular working hours for other purposes such as when setting up leave policies.

Advanced Pro-Rata Leave Calculation Settings for employees joining throughout the leave year 🇬🇧

The new leave engine is able to calculate pro-rata leave entitlement for new joiners, which streamlines the process of determining holiday allowances for new employees based on their hire date. Previously, we only allowed the pro-rata calculation based on months, which is the UK default.

What's New! ✨

The ability to calculate pro-rata based on days is now available, along with control on other numerical parameters such as rounding the pro-rated value up/down and to half/nearest whole number, providing you with increased flexibility as to how the leave calculation is supposed to work. 

Why introduce additional configurations?

The feature to pro-rate leave entitlement for employees joining through the leave year saves you time and administrative burden, as you no longer need to manually adjust leave balances for new joiners. So if you're after after controlling the specific variables which affect the final leave entitlement, such as rounding and determining whether to pro-rate based on days or months, this feature is for you. It allows you to drive your unique needs, making sure that the leave engine is adaptable and flexible according to your business rules. 


How does this work in the product?

To use this feature, customers simply turn on the “Pro-rate leave entitlement for team members that join throughout the year” checkbox in the Leave Policy Builder for a given policy and are then shown a button to configure all pro-rata settings (with sensible defaults populated). Please note that these settings is only available for “Fixed” yearly and “Based on agreed hours” accrual schedules.




Example 1:
  • The leave year for a company runs from 1st January to 31st of December. Employees receive 28 days every year. Pro-rata settings are on – based on days, rounding up to the nearest half.
  • Employee joins on the 22nd of February. Let’s assume it’s a leap year. Deputy will automatically calculate the leave as follows:
  • 28 * (314/366) = 24.0218579235, rounded up to the nearest half, 24.5 days.
Example 2:
  • The leave year runs from 1st April to 31st of March. Employees receive 33 days every year. Pro-rata settings are on – based on days, rounding down to the nearest whole.
  • Employee joins on the 2nd of October. Let’s assume it’s a non leap year. Deputy will automatically calculate the leave as follows:
  • 33 * (186/365) = 16.816, rounded down to the nearest whole number, 16 days.


Rollout

  • Now available to every customer using the new leave experience on Deputy.

Improvements for overnight shift's hours/costs allocation

What's new ✨

Supercharge your business overnight operations by introducing a new setting for overnight shifts' hours and costs allocation either to the 1st day or splitting from the midnight across Business Insights, Stats Panel and Roster vs. Timesheet vs. Sales report.

Benefits of using the new setting 

📢 It is always critical to understand how my business performed especially for those who operate overnight.  

With the new setting, managers are enabled to have more flexibility with different business scenarios that either understanding business performance purely from a calendar date by allocating overnight shifts to be splitted from midnight into 2 days , or into an aggregated date by allocate all into the 1st date.

How to use it 🤓

Set it up by Business settings --> Schedule --> Overnight shift allocation.

Introducing Tenure/Seniority-Based Rules Within the New Leave Engine

What's New ✨


The new leave engine now supports the implementation of tenure-based rules within leave policies. This means your business can effortlessly tailor leave policies based on the length of an team member's service, ensuring a more personalised and fair approach to time-off allowances.

Why?
  • Many businesses all across the world tailor leave benefits to acknowledge the dedication of their team members within the organisation, and to retain and motivate their staff.
  • Tenure-based rules have been one of the top 3 feature requests for leave accrual customisation within Deputy!
  • Previously, you may have had to set up multiple different policies for managing tenure-based policies, which came with its own complexities: moving balances over from old tenured leave policy to the new one for an employee who would be eligible for a tenure-based company leave rule, clearing out balances from the old policy etc. 
  • This can now be seamlessly managed within 1 leave policy itself, saving you time and allowing for a more streamlined policy management experience.

How does this work in the product?  
  • A tenure-based rule allows different amounts of leave to be accrued depending on how long the team member has been with the organisation.
  • For a tenure-based leave policy to function, businesses will need to have their team member's Hire date entered accurately in their employee profile.
  • The leave policy will then automatically reference the hire date from the employee profile and perform accruals based on the length of their tenure within the business.
  • Tenure-based rules are available for all the accrual methods present in the leave policy builder.

Lightspeed Restaurant (K-Series) now integrates with Deputy

Whats new ✨ 

Lightspeed has recently released an integration for their Restaurant product (otherwise known as K-Series) to Deputy. The integration is able to sync live sales data from Lightspeed K POS terminals. This allows for real time sales tracking vs labor costs in the Deputy smart scheduling feature. Users of the integration can also select whether they want the Gross (Inclusive of Tax) or Net (Exclusive of Tax) amounts to be sent to Deputy. We know this is one of our your most requested features so we are delighted that our development partner Lightspeed has included this feature.

Deputy worked closely with Lightspeed over the past year to ensure that this integration meets all the hallmarks of a top level integration. It includes features such as mapping individual POS terminals to location areas, importing sales data and mapping employee records from Deputy to Lightspeed Restaurant (K-Series).

How to use it 🤓

The integration with Deputy is installed from within Lightspeed Restaurant (K-Series). For more information about setting this integration up please consult our online help guide here.

Rollout 🚂

The integration from Lightspeed Restaurant (K-Series) to Deputy is now Generally Available. Users of Lightspeed Restaurant (K-Series) can install the integration now in all three of Deputys regions (Australia/USA/United Kingdom).

Leave accruals and deductions now based on "Pay Approved Timesheets" (UK only)

What's New ✨

  • We've made trigger changes to the new leave management engine, where instead of leave balances updating when “Mark timesheet as paid”, they now occur when managers simply pay-approve a timesheet.
  • Managers now do not need to carry out an extra step to make sure leave is accruing and deducting reliably, saving them time every day and every pay cycle!
  • Timesheet accrual now kicks in when a regular timesheet is pay-approved, and leave deduction kicks in when a leave timesheet is pay-approved.
    • Leave previously or deducted accrued also reverts if a timesheet is pay-unapproved or discarded.
    • Leave accruals are automatically recalculated when timesheets are recalculated.


Why is this useful for my business? 💪

Up-to-date leave balances: Timesheet approval happens daily, while marking timesheet as paid typically happens at the endthe pay pay period (fortnightly or monthly). Changing the accrual trigger would mean employees submitting leave requests will have a more accurate balance to refer to when applying. Simil,arly managers will be able to make the right decision on approval with the balances being more accurate.


How can I start using this new change?

This change will be rolled out progressively to all accounts using the new leave management engine in the next 2-3 weeks.
