Upgraded Employee Schedule Views

What's new ✨

  • Upgraded Employee Schedules - Week, 2 week, 4 week and month employee view schedules have been redesigned and rebuilt
  • Performance - Upgrading the technology behind the schedules can result in a much faster scheduling experience for Deputy customers
  • New Design - A more consistent scheduling experience no matter what scheduling view you like to use most

As part of Deputy's ongoing work to provide a faster, better scheduling experience, these upgrades offer a better experience from day one but also allow us to provide exciting new features like agreed hours with many more to come

Map on Timesheet Details on Mobile

What's new ✨

  • To help with timesheet approvals on-the-go, timesheet details now show a map indicating where team members clocked in and out.


How to use it 🤓

  • Managers can view the map by tapping on the Area row of a submitted timesheet.
  • Managers can tap on the help icon on the map screen and read a reference for the pins on the map:

    Purple pin - physical location of your store/office as set in Location Settings
    Green pin - team member's clock in location
    Red pin - team member's clock off location

Labor Model Improvements - Permission settings & Bulk actions

Labor model feature has been improved to be more flexible and easily managed in the centralized Business Insights!
What's new ✨

  • Administrators can restrict who can manage the labor models via Business Settings now.
    • Can View/Run Labor Model : Users who have been assigned with this permission will only be able to read and run the labor models that have been set up for them.
    • Can Modify/Delete Labor Model:  Users who have been assigned with this permission will have the full power to manage (add/edit/delete/copy) labor models in their managed locations.    
    • For users who have neither of those 2 permissions,  they will not be able to see Labor models in Business Insights.
    • Enterprise customers can also set those permissions in the Employee Role app.
  • We also introduced Bulk Actions for labor model.
    • Bulk Delete will allow managers to delete selected labor models by one click.
    • Bulk Copy will enable managers to easily duplicate selected labor models from one location to other locations.





Why 🤔

Labor model is a powerful tool that will help you to make data driven decisions for your scheduling which will make a big impact on your business performance.

With the new permissions and bulk actions in place, you can manage your labor models in one centralized location and easily duplicate to other locations by your authorized managers only.

Create your own Employee Onboarding questions

What's new ✨

You can now create and ask your own Employee onboarding questions to suit your business needs.

The current onboarding form collects basic personal, banking and tax information, but what if you need to collect other important business-specific questions from your new hire? 

For example “have you had a workers' compensation claim?”, “what’s your uniform size?”, “do you have a preferred location?”.. the options are endless.

Why 🤔

Keep it all within Deputy - you won’t need to use a separate system to collect and store additional information about your team members. 

Unique & flexible - the flexibility to ask any question that might be specific to the business, whether it’s a short answer, Yes/No or multiple choice

Reusable - create it once and the questions will be included in all new onboards

Improved NetSuite Integration now available

What's new ✨

Deputy Premium and Enterprise now integrate directly from within NetSuite.

  • Synchronise your NetSuite employees - Add and update employees directly in Deputy from NetSuite and vice versa.
  • Import Timesheet data - From NetSuite, you are now able to import timesheet data directly for processing in NetSuite SuitePeople.
  • Import Deputy Locations and Pay Rates - Import Locations and Pay Rates to apply them directly to your new or existing employees in SuitePeople and have that synchronise back to Deputy automatically.


Why

NetSuite is popular with some of the larger Deputy customers and prospects but has never really had an easy-to-set-up integration before. A more in-depth integration makes it easier than ever to get timesheet data across to NetSuite, ready to pay your employees.

How to use it

The improved integration can now be installed directly from the Suite Apps marketplace in NetSuite.

Coming Soon: New multi-location selector for your schedule

What’s new ✨

You will have the ability to multi-select any combination of areas in the new schedule location selector (web).

Why 🤔

  • Flexibility with Multi-Select Locations - Making the schedule view more relevant by only showing exactly what you want. You can select any combination of locations & areas when scheduling
  • Efficiency - If you need to view and work across multiple areas and locations, you can now select them all in one go without having to frequently change location
  • System Performance - By showing only what you want, the Deputy platform doesn’t have to find all the shifts and staff you don’t currently need to look at. This helps the schedule perform faster and is one of a long list of upcoming performance enhancements we have planned — stay tuned!


How to use it

  1. Navigate to the schedule and you’ll find the new location selector where it’s always been
  2. Choose "Select Multiple"
  3. Select which areas and/or locations you’d like to view
  4. Hit "Done" to view your selection on your schedule

Unavailability control so you can schedule your team with confidence

What's new ✨

Deputy businesses will soon be able to disable the ability for team members to submit unavailability.

Why 🤔

We know that many businesses do not use the concept of unavailability when managing their teams and schedules. This can lead to team members incorrectly using the unavailability feature, disrupting a business's ability to roster. With this new level of control, businesses that don't operate with the concept of employee unavailability can turn this feature off and continue to schedule employees in the way that they prefer.

How to use it 🤓

As a system administrator, you can prevent team members in your business from submitting new unavailabilities:

1.  Navigate to Business settings > Leave

2. Unselect the option for "Allow Team members to submit unavailability".

After turning this setting off, unavailabilities can still be created and used for Scheduling. This setting will not impact users with the ability to schedule employees, including Supervisors, Location Managers. They can continue to add unavailabilities for a team member in their profile under the People tab.

Furthermore, existing unavailabilities will not be impacted, and team members will still be able to delete their existing unavailabilities.

Sales Per Hour in Stats Panel

What's new ✨

Deputy is bringing you the ability to monitor the Sales per hour(SPH) in both Stats panel graph and table view.
We’ve also adjusted the default key business data showing up in the stats panel graph summary to make it easier to understand.
  •  Actual hours/wages/sales/labor%/SPH for past period
  •  Schedule vs. Forecast hours/wages/sales/labor%/SPH for current/future period
  •  You can always check budget vs. forecast vs. actual data in the hover-over popup as before


Why 🤔

With Sales per hour in the stats panel,  managers will not need to go back to Business Insight summary to check on those data.  It is easier for managers to leverage with this new north star metric while making scheduling decisions.

How to get it 🧪

This feature will be progressively rolling out to all customers in the next 2 weeks.

A faster and better Once page is coming to you soon

What's new ✨

From tomorrow, you may notice a refreshed Once page when logging in to access their business on Deputy. 

This visual update comes with several performance improvements that will load your businesses faster and more reliably than before.


Deputy's Once page is where users can access all businesses associated with them, edit their personal profile or security settings, or manage the settings of a business, such as the URL, business name, and billing details.

This update will be available for all customers from tomorrow. We hope you love the change!
