Flexible shift coverage with new open shifts location setting

What's new ✨

We're excited to introduce a new location setting that enables team members to claim and request open shifts, swaps and offers - even when they are marked as unavailable!

Why 🤔

Life is unpredictable - sometimes, team members may want to pick up shifts even when they are typically unavailable otherwise. 

For managers, this setting opens up an extra pool of team members to fill shifts, reducing time and effort spent managing shift coverage. It's a win-win!

Rollout ✅

This location setting is now available to all accounts. 

You can enable it by going to:

Locations > Edit Settings > Scheduling > Creating and publishing shifts

Improvements for Find Replacement for better managing your schedules

What's new ✨ 

We improved Find Replacement modal to better suit mid-market needs including:
  • Revamped the Find Replacement modal UI to empower managers quickly pick up/search certain employees for the replacement shift.
  • Managers can also write up a message to encourage selected employees to easily pick up the replacement shifts.  This used to be an existing feature for Mobile Apps only for find replacement that finally we make it consistently available in Web.
  • Improved the tech stack for better performance.
And it also support the upcoming Shift Plans schedules (micro-scheduling) that will enable you to easily schedule multiple shifts for a single employee in a day.

Improvements for Print/Export Scheduled shifts and deprecating support for .xls file format

What’s New 

We improved Print/Export scheduled shifts to better suit mid-market needs including:
  • Small iterations for clearly listing the scheduled shifts details when print or export to excel across all of the schedule views.
  • When printing more than one week's shifts,  they will be printed week by week to ensure clear communications with better visualisations.
  • Exported file will be in .xlsx format to provide the best user experiences.  Legacy .xls format will be slowly deprecated because
    • Microsoft has disencouraged customers from using xls format since 2007 to prevent certain compatibility issues.
    • .xls file is not designed to hold large amount of data while .xlsx file can have a better performance and compatible with all mordern Office softwares.

View shift times based on the employees time zone, or the workplace location time zone

What's new ✨ 

Employees can now view their shifts based on their device's time zone (where they are located) or the business location's time zone. This way, employees living in a different time zone to their business know exactly when to start work, without having to do complicated time zone math!

Default will be the device's timezone, user will be able to change this from that default via this new setting.

Attract and hire thousands more candidates with Deputy HR's new SEEK integration

What's new ✨

We’re thrilled to announce our latest integration with SEEK, Australia’s leading employment marketplace, enabling you to reach a massive pool of qualified candidates across Australia. By working seamlessly across Deputy HR and SEEK, you’ll be able to:

  • Post job ads directly from Deputy to SEEK with ease
  • Edit and re-publish your published SEEK ad from Deputy
  • Manage all candidates applying from both SEEK and Deputy all within Deputy


How to use it 🤓 

You must be trialling or subscribed to Deputy HR and have an existing SEEK account in order to use the SEEK integration.

System Administrators and Location Managers will be able to find the SEEK integration in the bottom of the Hire > Settings page on the People tab.

After you've connected your SEEK account, click Manage in your job listing and Publish to SEEK on the next page.

Create and Configure your own pay rates and shift differentials in the new Pay Rate Builder (US and UK only)

What's new ✨

Deputy is introducing a completely new way for all accounts to self serve and configure their own pay rates, including
  • Modifying pay rates - changing how much is paid, or thresholds for rules like overtime
  • Adding Shift Differentials, for items like night shift payments
  • Automating allowances based on areas, custom fields, and more
This new tool for system administrators continues to allow users to simplify and streamline their compliance needs, giving greater cost accuracy for all of your team members. Users can start with our pre configured library labor laws and modify them to meet their needs, or start from scratch and build their own pay rates.



How to use it 🤓 

System Administrators will be able to find the Pay Rate Builder in business settings under the pay tab once it is enabled in their account.

Further help documents are available here, outlining how to edit contracts and pay rules for greater simplicity!

Rollout 

The improvements will roll out to all accounts in the US and UK over the coming weeks. Australian and other countries will come later this year.

Improvements for Schedule Bulk Actions

What's new ✨

We completely upgraded the bulk actions for managing schedules to better suit mid-market customers' needs including:
  • Mark all shifts empty - remove employees for all assigned shifts
  • Remove empty shifts - delete all un-assigned shifts
  • Mark empty shifts as open - update all un-assigned shifts as Open Shifts
  • Delete all shifts
It becomes faster and more scalable by leveraging the newest technology with more intuitive user experiences.


It also supports the upcoming Shift Plans feature suite which will improve the business produtivity by assigning a single employee with multiple shifts in a single day (aka: Micro-scheduling).  If you feel interested to join an early Alpah for Shift Plans, please register here.

Fill your shifts faster with improvements to Open Shifts with Approval and Find Replacement

What's new ✨

We’re excited to announce updates that make managing and picking up Open Shifts with Approval and Find Replacement shifts smoother than ever! 

The following improvements will be available in your account soon: 

  • Team members can decline Open Shifts with Approval or Find Replacement invites. This will help narrow down your pool of potential team members for unfilled shifts, saving you time and effort.
  • Managers can decline Open Shifts with Approval requests from team members. This will help enhance communication and ensure team members won't be left in the dark if they haven’t been selected for a shift.
  • General improvements to viewing and editing Open Shifts features. You can now view Shift Details and make certain edits to shifts, such as adding Shift Notes, even if there are already requests.

Keep things smooth with a new schedule/roster warning ⚠️

What's new ✨

We’ve added a helpful alert for scheduling managers! Now, if you try to schedule a team member who hasn’t finished their onboarding process, you’ll receive a warning. Don’t worry, you can still choose to ‘schedule anyway’ if needed.

Why 🤔

Making sure everyone is fully onboarded before they start working is essential for a smooth operation. In the past, managers might have accidentally scheduled new hires who weren’t fully prepared, leading to disruptions and compliance issues. With this new feature, you can avoid those pitfalls and ensure your team is always ready and compliant from day one.

Shift Pulse is available for all Deputy users, but a Deputy HR subscription unlocks its full potential and enhances your experience.

Without a Deputy HR subscription, you'll still be able to:

  • Use the default Shift Pulse question to gauge your team's feelings.
  • View a snapshot of your team's recent sentiment with the last 7 days of data.
  • See a limited selection of comments for an overview of feedback.

A Deputy HR subscription will give you access to:

  • Customization: Craft your own questions, set check-in frequency, and tailor responses.
  • Deeper Insights: View all historical data and read every comment for a complete picture.
  • Mobile Convenience: View detailed reports and all comments directly in the Deputy mobile app.

While Shift Pulse offers value to all Deputy users, the enhanced features and customization options available with a Deputy HR subscription truly elevate your team's engagement and your ability to act on feedback.

How to use it 🤓

To view the extra Shift Pulse configurations, navigate to Business Settings > Timesheets > Customise. You can then view the Shift Pulse report by navigating to the Reports tab and click View full report in Shift Pulse.

If you want to use the new Shift Pulse configurations, please note that your team have to be on the latest Android and iOS versions of the Deputy mobile apps.

If you are subscribed to HR, you can also get an overview of the report by navigating to the People tab and clicking Team engagement on the left hand side navigation.
