Adding flexible availability preferences for your team

What's New ✨

Team members are now able to state when they prefer to work by adding when they are available, not just when they are unavailable.

The new ability for team members to add in their availability will tie in with all the same touch points for managers scheduling shifts meaning there will be no changes to how you schedule. Managers will still see a warning when someone is being scheduled for a shift that clashes with when a team member has indicated a preference to work or not.

Why? 🙋‍♀️

Availability makes it easier for certain kinds of team members to keep their availability up to date, such as casual staff members or people who don’t work full time hours and it may be easier and faster to indicate when they are available vs unavailable.

Making this process easier for employees will mean you’ll have more data available when looking to find the best fit for a shift.

How ✅

  • Sign up to the beta here to get this added to your Deputy install today
  • Wait for general release which will be added to Deputy account incrementally from May.
  • Make sure that you and your team have the latest version of our iOS and Android apps

Deputy Payroll (🇦🇺) - Expression of Interest now live!

Over the past year, we’ve been developing a new payroll solution tailored for the Australian market: Deputy Payroll. Building on the existing Deputy workforce management platform, Deputy Payroll offers features designed to grow with your business. Timesheets to Payroll? With just one click, you can seamlessly convert timesheets into a pay run, ready to process. We've worked tirelessly to bring features to Deputy Payroll that focus on solving some of the most common frustrations customers have had.

✅ Multi-Entity: Deputy Payroll supports multi-entity out of the box. No more having to connect multiple iterations of the same payroll system to the one Deputy install. Process all your businesses through the one payroll account.

✅ Single Login: Gone are the days of logging into multiple apps to process payroll. Deputy Payroll is fully integrated into the Deputy system, allowing users access to process payroll quickly and easily, all within one platform.

✅ Employee based features: Employees can access their payslips straight from the existing Deputy mobile app, the same one currently used for leave requests and clocking in and out. As soon as a payroll is locked and completed, employees can view their payslips reducing the burden on payroll admins to get them sent out.

✅ STP and SuperStream Ready: Deputy has always been known for its powerful awards engine and Deputy Payroll takes this to a new level allowing you to complete all your government and superannuation reporting, directly inside the platform.

Deputy Payroll is coming very soon and we're so excited to show you what we've been working on. Expressions of interest are now open and you sign up HERE to be the first to experience the new world of Deputy Payroll

Labor Model Automation for the precise, timely, and effortless workforce planning

What's new ✨

Managers can enable auto-run labor model in the Required Staff - Settings section. Once activated, the system will automatically update labor demand within 5 minutes when:
✅ Manager forecast demand driver data is updated
✅ Deputy forecast demand driver data is auto updated due to recent actual data landing if there is no manager forecast setup
✅ Actual
demand driver data is updated

The system will then:
🔹 Auto-generate Forecast Required Staff when forecast data changes.
🔹 Auto-generate Actual Required Staff by applying your existing labor model setup to the actual demand driver data.
🔹 Display a label in Required Staff to indicate a scheduled labor model update.
🔹 Managers can compare Forecast Required Staff vs. Actual Required Staff via Business Insights Summary.

Read the help doc for more details.

Why 🤔

Keeping labor demand (required staff) up to time is important to run the business smoothly and effciently.

With labor model automation feature, it will help

  • Eliminate manual effort: Managers no longer need to remember to re-run the labor model.
  • Reduce human errors: Ensures labor demand stays accurate at all times.
  • Managers can continuously optimize scheduling decisions and improve demand planning accuracy by retrospecitvely comparing Forecast vs. Actual required staff

Rollout ✅

This features will be available in all accounts in the next 4 weeks.

Flexible shift coverage with new open shifts location setting

What's new ✨

We're excited to introduce a new location setting that enables team members to claim and request open shifts, swaps and offers - even when they are marked as unavailable!

Why 🤔

Life is unpredictable - sometimes, team members may want to pick up shifts even when they are typically unavailable otherwise.

For managers, this setting opens up an extra pool of team members to fill shifts, reducing time and effort spent managing shift coverage. It's a win-win!

Rollout ✅

This location setting is now available to all accounts.

You can enable it by going to:

Locations > Edit Settings > Scheduling > Creating and publishing shifts

Improvements for Print/Export Scheduled shifts and deprecating support for .xls file format

What’s New

We improved Print/Export scheduled shifts to better suit mid-market needs including:
  • Small iterations for clearly listing the scheduled shifts details when print or export to excel across all of the schedule views.
  • When printing more than one week's shifts,  they will be printed week by week to ensure clear communications with better visualisations.
  • Exported file will be in .xlsx format to provide the best user experiences.  Legacy .xls format will be slowly deprecated because
    • Microsoft has disencouraged customers from using xls format since 2007 to prevent certain compatibility issues.
    • .xls file is not designed to hold large amount of data while .xlsx file can have a better performance and compatible with all mordern Office softwares.

How to use it 🤓

Further help documents are available here, outlining how to edit contracts and pay rules for greater simplicity!
