A rebuilt access level and permissions experience that lets you create custom roles with clearer, more granular control over what people can see and do.

What’s New ✨

  • Build roles that match your business: Create custom access levels that sit between the standard options, so supervisors and managers get exactly the access they need.
  • Reduce sensitive data exposure: Use clearer permission labels and tags to help limit access to pay details and other PII, without blocking the work someone still needs to do.
  • Understand permission impacts instantly: Permissions are grouped, and Deputy shows dependencies, so when you turn something off, related permissions update automatically.
  • Track changes with confidence: Review audit trails and history logs to see who updated permissions and what changed.

How does it work?

  1. Log in as a System Administrator, then go to Business settings.
  2. Open Access levels and permissions, then select Access levels.
  3. Click Add new role, name your role, and set reporting lines as needed.
  4. Choose the permissions you want, using the grouped layout and dependency prompts, then review assigned team members.

When will it be available?

  • Pro plans: Rolling out now
  • Enterprise: Supported, with the new UI coming to Enterprise soon.

Freeze Empty/Open Shift Row in Schedule Employee Views

Scheduling managers can now freeze the Open/Empty Shift row in the Schedule Employee views — keeping it pinned and visible while they search for available employees and fill un-assigned shifts more efficiently.

What’s new:

The freeze toggle is available in two places:

  • Right-click context menu on the Open/Empty Shift row
  • Employee menu dots (⋯) on the cell of Open/Empty shifts

This feature keeps the un-assigned shift row visible and interactive throughout the search flow, so managers can find an employee and drag the shift to them in a single, uninterrupted motion.

How does it work?

When will it be available?

This feature is available for all Deputy customers now.

Automated Super fund choice for onboarding 👥

What's new ✨

Newly onboarded team members can now be stapled to their existing super fund, helping employers meet ATO requirements while reducing manual admin.

You can now connect to the Australian Tax Office (ATO)

  • activate Super Stapling for eligible new hires
  • automatically submit employees’ Tax File Number (TFN) declarations

Why 🤔

Be ready for Payday Super – From 1 July 2026, employers must pay super guarantee at the same time as salary and wages.

How to use it 🤓

Go to your onboarding settings > add your ABN > connect to ATO

Calendar View Improvements on Me Tab

Employees can stay informed about their scheduled shifts, leave, and unavailability—all in one convenient calendar view from the Me Tab.

What’s new:

We’ve completely revamped the calendar view to help employees easily access their daily information regarding scheduled shifts, leave, and unavailability right from the Me Tab on Desktop.
 

- Now employees can see all the details about their scheduled shifts, leave, and unavailability for the day in one place on the calendar. This way, you’ll never miss any important information about your day.

- We’ve improved the popup that appears when you click on a scheduled shift, making it easier to view the details you need.

- If your business settings allow it, employees can still quickly see who else is working on a particular day.

- We’ve streamlined the features by removing the duplicate toggle for "show available shifts." Instead, you can now view the complete list of available shifts by clicking on the "Available List" button or by visiting the Schedule tab, where you can see everything related to you in a calendar format.
 

We hope these updates enhance your experience and help you manage your schedule more effectively!

This feature is rolling out now and will be available to all Deputy customers in the next few weeks.

🇦🇺 Pay Calendar visibility and quick assignment on the People listing

System Administrators and Payroll Administrators can now see which Pay Calendar is assigned to each team member directly from the People listing - and quickly add one to any team member who doesn't have one yet.

What's new ✨

  • At-a-glance Pay Calendar visibility - the People listing now shows which Pay Calendar is mapped to each team member, so you can instantly who is setup for payroll and who isn't.
  • Quick assignment from the listing - employees without a Pay Calendar now have a quick shortcut link to add one directly from thePeople listing, without navigating into their profile.
  • Fewer clicks, fater setup - What previously took six clicks and multiple screens to complete, now only takes three.



How does it work? 

1. A a System Administrator or Payroll Administrator level user, navigate to the People listing in Deputy with Payroll enabled in Australia.
2. Look for the Pay Calendar column to see each team member's assignment at a glance
3. For any team member without a Pay calendar, click the Add pay calendar option and assign one in seconds.

When will it be available?

This feature is now live for all Australian payroll customers.

Schedule Improvements: Right-Click Menu for Fast Shift Editing

Scheduling managers can now right-click on the schedule to open a menu with your most-used shift actions.

What’s new:

  • Via right click, instantly add, copy, cut, paste, paste & replace,  find replacement, or delete shifts— right where you’re working
    • Paste will always create a new shift.
    • Paste & Replace will replace the selected shift with original shift's essential information aligned between Area and Employee views.
  • Multi-select shifts with right clicks to unlock powerful bulk actions, all from the same menu.
  • No more hunting through toolbars or menus—everything you need is just a right-click away!

How does it work?

  1. Go to Schedule Tab 
  2. Select a shift and right click on your mouse
  3. Choose the quick actions from the menu, or select another shift for addtional actions like copy/paste etc.

Leave accrual calculation visibility

See exactly how leave balances are calculated, right in your leave event history.

What is it/Description
Now you can view the math behind every leave balance change, making it easy to understand and verify how leave is accrued for your team.

What’s New ✨

  • See accrual rates: Instantly view the specific accrual rate used for each leave transaction.
  • Check worked hours: See the total worked hours that went into each calculation, so you know exactly what was counted.
  • Track historical accuracy: Calculations now reflect the correct policy version and milestone active at the time, giving you a true audit trail.
  • Self-serve troubleshooting: Managers and employees can verify leave math themselves, reducing confusion and support requests.

How does it work?

  1. Go to Leave Event History for any team member.
  2. For each balance change, you’ll see new fields: Accrual Rate and Total Worked Hours.
  3. Review the formula used: Worked Hours × Accrual Rate for each accrual entry.
  4. Use this info to verify calculations or troubleshoot leave balance questions.

Streamlined AU Superannuation Onboarding

We’ve significantly enhanced the Australian onboarding experience to simplify the superannuation setup process, ensuring compliance and reducing the administrative burden for both managers and new team members. This overhaul addresses the complexity and manual effort historically involved in superannuation (Super) choice and tax file number declaration (TFND).

With a guided, staged experience, new employees can confidently select their Super fund and complete all necessary declarations, making them PayDay Compliant faster, leading to a faster employee Time-to-Start, and reduced admin effort.

What’s New ✨

  • Guided, Staged Onboarding: New team members must complete one section before moving to the next, ensuring no critical information is missed.
  • Multi-ABN Selection: Customers who have added multiple ABNs can now choose the relevant ABN during the onboarding process for the new team member.
  • Instant TFND Creation: The necessary Tax File Number Declaration (TFND) is now created within the flow.
  • Flexible Super Fund Choice: New team members have clear options to choose from an existing fund, instantly join a new fund, join their employer’s nominated fund, or utilise a Self-Managed Super Fund (SMSF).

How does it work?

  1. When a new team member is added, they begin the enhanced onboarding process.
  2. If the business operates under multiple ABNs, the manager or new team member is prompted to choose which ABN the onboarding relates to.
  3. The team member is guided through staged onboarding, ensuring they complete essential sections like personal details before moving on to Superannuation.
  4. In the Superannuation step, the team member is presented with clear choices: selecting an existing fund, joining a new fund instantly, joining the employer's default fund, or using a SMSF.
  5. The process now includes the creation of the TFND (Tax File Number Declaration).

When will it be available?

This improvement is now available to all Deputy customers using the AU Onboarding flow who have added an ABN.
Enterprise businesses' rollout will commence in January.

Automated, Secure Data Upload and Sync via SFTP

We've released a powerful upgrade that lets you automate data uploads directly via SFTP to ensure your data is processed accurately and securely.

What’s New ✨

  • Automate or bulk-upload data using Deputy CSV templates (employee, employee payroll, sales, training module, leave balance, location, area, and more) directly into your SFTP folder to have them automatically imported into your Deputy account.
  • Processed files automatically sorted into folders processing, sent_successful, and sent_failed folders, plus successful/error email notification and a magic-link interface for fixing errors
  • Add and manage up to 10 public keys per tenant for separate access for automation systems and multiple users

Visa Entitlement Verification Online (VEVO) checks in Deputy HR

Deputy HR onboarding has been upgraded to include built-in VEVO checks and an enhanced Right to Work workflow. 

What’s New ✨

Managers can now conduct right-to-work (Visa status) checks when onboarding new hires, and for allexisting employees.

How does it work?

Once enabled, new team members will move through an improved onboarding flow that collects all the information required to run a VEVO check directly within Deputy HR. As soon as the onboarding form is submitted, managers can complete the VEVO check instantly.

When will it be available?

To activate it, go to your Business Settings → Right to Work and connect your account to VEVO.
