Monitor hours breakdown in schedule area view

What's New?

To help managers gain a clearer understanding of labor hours per area during scheduling, a new feature has been introduced:
  • Access it via: Schedule Tab → Insights dropdown → Show Hours in Areas
  • A breakdown of daily total hours by area, comparing:
    • Scheduled hours (including both filled shifts and all shifts)
    • Daily budgeted hours per area
    • Actual hours (from timesheets, available only when viewing past dates)
    • Compatible with sub shifts from Micro-scheduling

Why the Change?

By comparing budgeted, scheduled, and actual hours in one view, managers can make more informed, data-driven scheduling decisions—without the need to toggle Areas on and off in the Stats Panel to check daily hours data.This feature also serves as a valuable add-on, offering a more tailored experience for managers to monitor Micro-scheduling hours by area.

Bulk Import Schedules from File Improvements

What's New?

We have enhanced the Bulk Import Schedules from File feature to improve scalability and flexibility.The key improvements include:
  • Improved error handling by enhancing the import logic to better detect and manage errors, with improved editing capabilities to make corrections easier.
  • Support for Micro-scheduling sub shifts by introducing a new optional field, "Group Reference", to support importing Micro-scheduling rosters's sub shifts.
    • For standard (single-area) rosters, this field can be ignored.
    • For Micro-scheduling rosters, only the sub shifts need to be included in the file, each with the same Group Reference to indicate they belong to the same parent Micro-scheduling shift.
    • These enhancements make it easier to manage complex scheduling needs at scale.

Why the Change?

Bulk Import Schedules from File is a powerful tool that streamlines the bulk setup of rosters—especially valuable during the implementation or easily migrating from excel/google sheet into Deputy digital solutions. 

The new changes also support for Micro-scheduling schedules to be seamlessly imported into your Deputy account that will help you setup many rosters in a shorter period by significantly reducing the onboarding time and efforts.

Revamped Shift History - A Better Landscape for Clearer Visibility Throughout the Shift Lifecycle


What's New?
We have revamped the Shift History feature for Scheduled Shifts using the latest tech stack to enhance visibility, clarity and scalability:
  • Effortlessly trace the entire lifecycle of a shift from beginning to end.
  • Swap history details are now presented in natural language—no more cryptic status codes.
  • Enhanced support for Micro-scheduling with complete visibility into sub-shift updates.
  • The entire UX is pretty similar vs. its legacy version to ensure an easier adoption for managers.

Why the Change?
The Shift History for scheduled shifts is a cornerstone for businesses, offering a comprehensive view of shift activities—especially during audits.
  • A clearer, more readable history enables managers to quickly grasp the full context of any shift.
  • With the upcoming Micro-scheduling launch, we've ensured the feature is optimized for performance and scalability, providing full visibility for both standard and multi-area Micro-scheduled shifts.

Adding flexible availability preferences for your team

What's New ✨

Team members are now able to state when they prefer to work by adding when they are available, not just when they are unavailable. 

The new ability for team members to add in their availability will tie in with all the same touch points for managers scheduling shifts meaning there will be no changes to how you schedule. Managers will still see a warning when someone is being scheduled for a shift that clashes with when a team member has indicated a preference to work or not. 

Why? 🙋‍♀️

Availability makes it easier for certain kinds of team members to keep their availability up to date, such as casual staff members or people who don’t work full time hours and it may be easier and faster to indicate when they are available vs unavailable. 

Making this process easier for employees will mean you’ll have more data available when looking to find the best fit for a shift.

  • Wait for general release which will be added to Deputy account incrementally from May.

Fill your shifts faster with improvements to Open Shifts with Approval and Find Replacement

What's new ✨

We’re excited to announce updates that make managing and picking up Open Shifts with Approval and Find Replacement shifts smoother than ever! 

The following improvements will be available in your account soon: 

  • Team members can decline Open Shifts with Approval or Find Replacement invites. This will help narrow down your pool of potential team members for unfilled shifts, saving you time and effort.
  • Managers can decline Open Shifts with Approval requests from team members. This will help enhance communication and ensure team members won't be left in the dark if they haven’t been selected for a shift.
  • General improvements to viewing and editing Open Shifts features. You can now view Shift Details and make certain edits to shifts, such as adding Shift Notes, even if there are already requests.

Keep things smooth with a new schedule/roster warning ⚠️

What's new ✨

We’ve added a helpful alert for scheduling managers! Now, if you try to schedule a team member who hasn’t finished their onboarding process, you’ll receive a warning. Don’t worry, you can still choose to ‘schedule anyway’ if needed.

Why 🤔

Making sure everyone is fully onboarded before they start working is essential for a smooth operation. In the past, managers might have accidentally scheduled new hires who weren’t fully prepared, leading to disruptions and compliance issues. With this new feature, you can avoid those pitfalls and ensure your team is always ready and compliant from day one.

Updates to the Deputy Integrations Marketplace now live

What's new ✨

We've made some changes to the integrations marketplace inside Deputy to make it easier for you to know whether an integration was built by Deputy or not. This helps you know whether you can expect to setup the integration directly in Deputy, or whether you will need to do it inside the third party application.

Integrations which have been built by Deputy now have a tag of Deputy inside their application tile.

Integrations which have been built by a third party developer now have a tag of 3rd Party inside their application tile.


Along with this we have also made a change on the search functionality. When you search for an application inside the Deputy marketplace, we now connect to Zapier to see if the application is in the Zapier marketplace. For those unaware, Zapier is a middleware application that connections thousands of different applications with each other and Deputy has had an integration with Zapier for a number of years now.

When you perform a search results from Zapier will also now be included with the tag Zapier.

Clicking on this tile will take you to Zapier to help guide you through the process of getting Deputy connected to this application. With this change, we've added thousands of applications to our marketplace overnight and will bring more visibility than ever to our Zapier integration and the wide array of options it offers you when trying to solve business and integration problems.

Why 🤔

We've found sometimes users are confused with where an integration with Deputy needs to be setup, either in Deputy itself, or from a third party application. By directly labelling whether Deputy built the integration or not, it gives a clear indication as to where you will need to set the integration up. Along with this, including Zapier apps when searches are performed, gives visibility that there may be an alternate way to achieve what integration you are looking to setup.

How to use it 🤓

This change is live in the Deputy marketplace now so the next time you visit the integrations marketplace in your Deputy install, you will see these changes present.

Leave accruals and deductions now based on "Pay Approved Timesheets" (UK only)

What's New ✨

  • We've made trigger changes to the new leave management engine, where instead of leave balances updating when “Mark timesheet as paid”, they now occur when managers simply pay-approve a timesheet.
  • Managers now do not need to carry out an extra step to make sure leave is accruing and deducting reliably, saving them time every day and every pay cycle!
  • Timesheet accrual now kicks in when a regular timesheet is pay-approved, and leave deduction kicks in when a leave timesheet is pay-approved.
    • Leave previously or deducted accrued also reverts if a timesheet is pay-unapproved or discarded.
    • Leave accruals are automatically recalculated when timesheets are recalculated.


Why is this useful for my business? 💪

Up-to-date leave balances: Timesheet approval happens daily, while marking timesheet as paid typically happens at the endthe pay pay period (fortnightly or monthly). Changing the accrual trigger would mean employees submitting leave requests will have a more accurate balance to refer to when applying. Simil,arly managers will be able to make the right decision on approval with the balances being more accurate.


How can I start using this new change?

This change will be rolled out progressively to all accounts using the new leave management engine in the next 2-3 weeks.

Kiosk apps running on iOS 13 or 14 devices will no longer receive updates

What's new ✨

From 2nd October 2023, businesses using Apple devices running iOS 13 or 14 will no longer be able to download new updates of the Deputy iOS Kiosk app.


Why 🤔

Apple continuously releases features that make developing apps simpler, quicker, more reliable and secure. Supporting devices that run iOS 15+ means we will have all these benefits as we improve the Kiosk app.

Things to note ☝️

  • Existing businesses with a device on iOS 13 or 14 will still be able to use the current version of the Kiosk app installed & there will be no downtime on the older versions as we go through this transition. However, it will no longer be supported via our help channels. We strongly encourage you to upgrade to iOS 15+ if supported by your device.
  • Users on iOS 15+ will continue to receive new versions of the iOS Kiosk app as we make updates.
  • This does not affect the Android Time Clock app or the main Deputy shift worker app.

Pro-Rata Leave Entitlement Calculation for UK New Joiners 📅 (UK Only)


What's New? ✨

The brand-new leave engine is now able to calculate pro-rata leave entitlement for new joiners, designed to streamline the process of determining holiday allowances for new employees based on their hire date. This feature ensures that businesses remain compliant with UK employment law and provide fair and accurate leave calculations that align with an individual's start date.

Why is this game-changing for my business? 🏋🏻‍♂️

  • Deputy now automatically calculates leave entitlement based on an employee's start date, ensuring accuracy down to the day and in compliance with the UK Gov Holiday calculator. Say goodbye to manual calculations that can lead to errors and inconsistencies 👋🏼
  • You no longer need to manually adjust leave balances for new joiners, saving time and reducing administrative burden.

How do I use this? ⚙️

Example 1: Sarah joins a Deputy business on May 15th in a full-time capacity, which is midway through the leave calendar (1st January - 31st December). With this new feature, her annual leave entitlement will be calculated based on the remaining months of the year. For instance, if the business has a holiday entitlement of 28 days per year, Sarah will automatically get 19 days of holiday. 

Example 2: John starts his new role on September 1st in a part-time capacity, working 3 days a week. The leave year for his business starts on the 1st of April (UK Financial Year) and provides a statutory entitlement of 33 days every year. Upon joining, John will automatically receive 10 days of holiday. 



  • To use this feature, simply turn on the “Pro-rate leave entitlement for team members that join throughout the year” checkbox in the Leave Policy Builder for a given policy.
  • Once this leave policy is assigned to a new joiner with the provided hire date in their profile, Deputy will automatically calculate their leave entitlement and deposit the balance in their leave balance bank for the first time.
  • Note that this setting is only available for “Fixed” yearly and “Based on agreed hours” accrual schedules.
  • This feature is now available to all businesses using Deputy's new leave policy builder and accrual engine.
