A simple yet complete Fair Workweek solution for our US workplaces

Fair Workweek is a comprehensive set of laws that governs how workers’ schedules should be set and distributed. An ever-growing number of locations in the US have been rolling out these complex laws that are extremely difficult to manage manually. These regulations have large-scale impacts that enforce some or all of the following based on your workplace location:

  1. Ensure workers have a predetermined schedule well in advance of their shifts
  2. Require signed and documented consent from workers for a range of schedule changes
  3. Calculating a variety of pay penalties for those applicable schedule changes

With regulators in the US now handing out fines that are in the millions, it’s important to make sure your workplace is covered and Deputy’s new Fair Workweek offering is the easiest way to begin this journey.

When is this going live and how can I become compliant?

In line with the City of Los Angeles enforcement date of September 28, Deputy’s Fair Workweek offering will start to be available before then:

  • September 1 - Pay premiums for New York Fast Food and Los Angeles - other cities coming soon
  • October 1 - Regular schedule and employee consent for regular schedule changes
  • November 1 - Trigger and gather employee consent for working schedule changes

If you’d like to get on board with the full solution as early as possible or just find out more - please get in touch with your regular Deputy point of contact or sign up for our beta program.

The Deputy Fair Workweek Solution

The Deputy solution can be broken down into 4 easy-to-use parts that will keep your workplace compliant:

1. Auto calculation of Fair Workweek pay premiums

Designed to streamline your payroll process, Deputy will ensure you comply easily on a city-by-city basis with the following new features:

Accurate Fair Workweek Calculations: Deputy goes beyond basic calculations by factoring in complex elements such as shifts, overtime, breaks, and predictability pay. Now, you can ensure that your employees are compensated fairly in accordance with labor regulations.

Predictability Pay Integration: Keeping up with the intricate requirements of predictability pay is now effortless. Deputy identifies shifts subject to predictability pay and automatically includes them in the calculations, eliminating errors and saving you valuable time.

Clopening Consideration: Clopenings can be a challenge, but not anymore. Deputy recognizes these instances and ensures that employees receive the compensation they deserve for working consecutive closing and opening shifts, promoting fairness and employee satisfaction.

City-Specific Tailoring: Each city has its unique labor laws. Deputy offers city-specific pay rates for both New York City Fast Food and Los Angeles, adapting to local regulations seamlessly while alleviating the complexity of compliance. More cities to come, including San Francisco, New York Retail, Chicago, Philadelphia and Oregon - stay tuned!

2. Trigger and gather employee consent for schedule changes

Stress less about having to understand and remember the huge amount of schedule change scenarios that require an employee's consent alongside needing to manually document them.

Your Deputy schedule will now be able to integrate city-specific Fair Workweek consent laws and bear the burden of helping you comply with them.

Depending on your location, we’ll have the right setting configuration for you that both triggers consent for any schedule changes where required, as well as documents them in a reportable, auditable way:

  • Adding or reducing hours
  • Work schedule variance with regular schedule exceeding 15% (NYC Fast Food only)
  • Clopenings (i.e. back-to-back shifts across two work days)
  • Other schedule changes (e.g. location, breaks)
  • Timesheet attestation (starting and ending shifts that vary from scheduled hours)
  • Schedule change compliance warnings to keep managers informed at every step

3. Create regular working schedules (Good Faith Estimates)

A cornerstone of the Fair Workweek laws is that employees have a mutually agreed upon, predictable schedule which remains as similar as possible each work period. Deputy’s regular schedule enables you to:

  • Build a repeating schedule for each of your employees
  • Request and record employee consent for any changes
  • Use Deputy’s auto-schedule feature to roster your whole team in a single click.

4. Auditable Reporting

With complex laws, rules and premiums that have to be paid to employees, it’s important to have easy visibility on how these laws have been applied to your schedule (especially if the regulators ask) and also what impacts the premiums have on your bottom line. Deputy’s Fair Workweek reporting out of the box will provide:

  1. Pay premium reporting - Understand how much pay premiums from Fair Workweek mandated penalties are costing
  2. Schedule change history reporting - Have easily auditable compliance to keep Fair Workweek regulators happy

I’m already compliant with Fair Workweek by using Deputy - how does this impact me?

If you are a Deputy customer who is already Fair Workweek compliant, these new features will not change your current solution and there is no action to take. Your Deputy point of contact will work with you to identify a migration path as well as a timing that suits you to ensure you always have the latest Fair Workweek compliance solution as we continually invest in this space.

New Employee API available now

We are thrilled to announce a built from the ground up brand new employee API to enhance your ability to integrate with Deputy and provide seamless connectivity for your applications. We've designed this API to be more secure, and more efficient to give you a smooth developer experience every step of the way when building an integration to Deputy.

What's new?

Dramatic reduction in API requests required

On average with the old employee API it would take twelve individual requests before an employee was ready to use in Deputy (ie. ready to be scheduled, paid etc). We've cut this down in most cases to a single request by adding new options to the API such as having the option to add multiple workplace links to an employee in the initial request, stress profiles, employment agreements etc.

Bulk importing

The API now supports the ability to bulk import multiple employees in a single request. So not only do you have fewer requests per employee, but you can also bulk your requests to gain even more efficiency.

Field masking

One of the big concerns when dealing with employee data is data considered personally identifiable information. Often when holding data like that you have other compliance requirements to consider. To assist with this we've implemented field masking into the API. This allows you to define the exact data fields you want in a response to ensure you don't receive any data you don't want or need in your application.

Easier employee updates

Along with field masking, we allow you to define which fields to specifically target when updating employees. It might be that you have a minimum payload that contains four or five elements, however with our new update, you can specifically tell the system which field has changed, to ensure other elements remain untouched.

How can I get it?

The employee v2 API is now available on request and will be rolling out to all Deputy installations soon. If you are a developer of a product that already integrates with Deputy, or are building one you can apply to get this enabled on your developer instances here. We've published public documentation around the new API as well which you can view by clicking the See the Docs button below

Feedback

We'd love to hear from you about your experiences with the new Deputy employee API. Feel free to email us at apisupport@deputy.com.

The all new bulk import

What's new ✨

We have completely rebuilt the bulk import tool, which will allow you to import and/or update your important data into Deputy from CSV.

You are now able to import -

  • Employee/team member data, along with pay rates
  • Training modules
  • Training records (assign training modules to employees)
  • Assign pay details/employment terms to employees (Enterprise only)
  • Schedule
  • Timesheets

Why 👈

We heard from many customers about challenges in importing data into Deputy.

The new bulk import has many capabilities -

  • Upsert - Insert new data and update existing data in single import operation
  • Validations - Validate data (example - valid location or stress profile) before importing
  • In-place editor - Correct errors directly in editor (no need to download, correct and re-upload)
  • Export - Export all existing data so that you can edit and re-import (Bulk updates are easy now!)
  • Sample Import templates
  • Bulk Import History - Review previous imports

How to use it 🎯

To import employee, training or pay details -

On the People tab, click Add People and then Bulk Import/Update.

Select the type of data you want to import viz. Employee/ Team member or Training.

If you want to update a large number of existing employees, you can export/download -> update -> re-import data. Export file format matches import format.

To import schedule,

On Schedule tab, click on Options and then click Add shifts from file.

To import Timesheets,

On Timesheets tab, click on Add Timesheets and then click on Add Timesheets form file

Please refer to the help guide for detailed information.

How to get it 🙋

Bulk import is available to all customers.

What will happen to old CSV import? 🏆

Old CSV import will be phased out in next few days.

New Custom Payroll Exporter features now available

What's new ✨

Since the release of Custom Payroll Exporter, we've been gathering feedback from users as well as payroll providers around the types of CSV and text formats they require for their various payroll applications.

To assist with these requirements we've added three new features to the Custom Payroll Exporter feature in Deputy.

  • Custom rows
  • Delimiters for combined data fields
  • Conditional column formatting

All three of these features mean that it's easier than ever to generate the CSV format your payroll system may require.

Custom rows allows you to define a custom row (for example a data header) which will appear before the column names and exported data. This can be important with some payroll systems that need a version number of the file at the top for example.

Delimiters for combined data fields allows you to define how column header names will be combined when required for export. For example your payroll application may require the combined column name to have a colon or carat in the middle.

Conditional column formatting allows you to perform data transformations on export automatically. For example you may have a payroll system that requires an employees payroll code to be their location name plus a number. With Conditional Column Formatting you can easily setup this data transformation to automatically occur on export when using the Deputy Custom Payroll Exporter feature.

How to use it 🤓

The new Custom Payroll Exporter features are available in Deputy right now. For more information consult the help documentation. As always if you have any questions or feedback feel free to reach out to via the give feedback feature of Deputy detailed here.

Improvements to protect managers' privacy of their wage costs

It is quite often that multiple managers could be scheduled in the same location during a week.  Consequently they will know each other’s even their boss’s wage details from Scheduling, Reports, People Tab that caused a few unnecessary drama.

What’s New?

A new role permission has been introduced for System Administrators to setup whether managers can view peers/above managers’ wage costs.

Premium accounts:  Administrators can set the new permission via Business Settings - People tab - Profile - “Managers can see costs for all roles"

When this permission is turned on, default Location Managers will be able to check/manage any employees' wage costs (including their peers/above managers, regardless of Salary or Hourly wages) in People/Schedule/Report tabs.

If it is turned off,  default Location Managers will only be able to view wage costs from those employees who are reporting to them.

Enterprise accounts: you can customise a particular manager role with the following 3 different permissions in different combinations via Enterprise - Access level & permissions

  • View cost on schedule
    • View cost of peers and above
  • Manage team members from all roles

If a manager is allowed to manage/view wage costs from all roles accross Schedule/Report/People tabs,  you will need to turn on all of the above permissions.

If a manager is only allowed to manage/view wage costs from the employees that are reporting to them,  you will only need to turn on View cost on schedule permission , but keep the other two permissions as turned off.

To read more about how to use it, check this handy help article.

When will I get it?

We are rolling out this feature now that will be shipped to all of the customers in the next 2 weeks.

New API Documentation Launched

What's new ✨

Third-party developer integrations continue to be an integral part of the Deputy ecosystem and providing clear, concise documentation to work with is key to these partnerships and developer success.

With this in mind, we've just launched our brand new API documentation site which can be found here. On the site, you will find a wide array of documentation to help you build an integration with Deputy such as:

  • Help Guides - Use-case-based guides take you through some of the most common integration use cases (such as retrieving timesheets) from A to Z.
  • Specific Industry Guides - Payroll, HR or POS app developer? We've got specific summary pages with the most important info for you to know.
  • Code Walkthroughs - Line-by-line code walkthroughs of some of our most popular endpoints.
  • Every element documented - Every element of the Deputy API system is documented
  • POSTMAN collection - We've released an official Deputy POSTMAN collection for you to download
  • API Reference - A full API reference of each endpoint is available including the ability to connect to the API directly from the documentation.

Why 🤔

This represents the first step in a list of many improvements we are planning to make to make integrating with Deputy even easier.

Documentation is a core cog in the API ecosystem as well. In a recent POSTMAN survey, documentation was just behind reliability, performance and security in importance for what matters most to developers when determining whether to build an integration. We understand that giving you the tools to self-serve during any development is critical to your integration success.

How to use it 🤓

Click here to open the docs. It's globally accessible now so please do have a look.

Got feedback to share? Email our team at apisupport@deputy.com or if you think a document needs updating, you can even suggest an edit directly from within the documentation. Just click this button which is shown on every page

We're super excited to launch these new API docs and other improvements we have in the pipeline. We can't wait to see what you build with them. As always if you have any feedback or need some help, our friendly API support team can be reached at apisupport@deputy.com. If you would like to discuss your Deputy integration with our partner team, they can be reached at partners@deputy.com.

Labor Model Improvements - Permission settings & Bulk actions

Labor model feature has been improved to be more flexible and easily managed in the centralized Business Insights!
What's new ✨

  • Administrators can restrict who can manage the labor models via Business Settings now.
    • Can View/Run Labor Model : Users who have been assigned with this permission will only be able to read and run the labor models that have been set up for them.
    • Can Modify/Delete Labor Model:  Users who have been assigned with this permission will have the full power to manage (add/edit/delete/copy) labor models in their managed locations.
    • For users who have neither of those 2 permissions,  they will not be able to see Labor models in Business Insights.
    • Enterprise customers can also set those permissions in the Employee Role app.
  • We also introduced Bulk Actions for labor model.
    • Bulk Delete will allow managers to delete selected labor models by one click.
    • Bulk Copy will enable managers to easily duplicate selected labor models from one location to other locations.

Why 🤔

Labor model is a powerful tool that will help you to make data driven decisions for your scheduling which will make a big impact on your business performance.

With the new permissions and bulk actions in place, you can manage your labor models in one centralized location and easily duplicate to other locations by your authorized managers only.

Improved NetSuite Integration now available

What's new ✨

Deputy Premium and Enterprise now integrate directly from within NetSuite.

  • Synchronise your NetSuite employees - Add and update employees directly in Deputy from NetSuite and vice versa.
  • Import Timesheet data - From NetSuite, you are now able to import timesheet data directly for processing in NetSuite SuitePeople.
  • Import Deputy Locations and Pay Rates - Import Locations and Pay Rates to apply them directly to your new or existing employees in SuitePeople and have that synchronise back to Deputy automatically.

Why

NetSuite is popular with some of the larger Deputy customers and prospects but has never really had an easy-to-set-up integration before. A more in-depth integration makes it easier than ever to get timesheet data across to NetSuite, ready to pay your employees.

How to use it

The improved integration can now be installed directly from the Suite Apps marketplace in NetSuite.
