Overtime Warnings & Cost Breakdown

Stay ahead of overtime and understand every shift cost—right from your schedule.

What is it?

A new scheduling update that alerts you to overtime risks and gives you a detailed breakdown of shift costs, so you can make confident, cost-effective decisions.

Why we built it

To help you avoid surprise overtime costs and make it easy to see exactly what’s driving your wage spend—so you can schedule smarter and stay on budget.

Why will you love it?

  • Spot overtime early: Get instant warnings when a shift will push someone into overtime.
  • See every cost detail: Click any shift’s cost to view a full breakdown—no more guessing why costs differ.
  • Take action before payroll: Adjust schedules proactively, not after the fact.
  • All your shifts up to date: We calculate the whole period so if one shift causes overtime on another, we keep you in the loop

How to use it

1. Set an appropriate pay rates
This will work for our key library rates as well as anything built on our pay rate builder. If you have a specific pay rate that isn't yet supported, we'll be adding these in thefuture

2. Location settings:
Go to your Location Settings and turn on “Show Overtime Warnings.” This will enable overtime alerts for all schedules at that location.

3. Clicking on cost breakdowns:
When adding or editing a shift, click the cost shown in the shift pop-up. You’ll see a detailed breakdown of what makes up the total cost—including regular, overtime, and any other pay components.

4. Observing warnings:
If a shift will push an employee into overtime, you’ll see a clear warning right in the shift pop-up. Click the warning for more details, so you can adjust before costs add up.

Mobile photo clock in/out

A smarter, more secure way for your team to clock in and out—now with real-time photo verification on mobile.

What’s New ✨

  • Live photo capture: Employees must take a live photo when clocking in or out—no more uploading old photos from the gallery.
  • Stronger presence verification: Know your team is truly on site, not just uploading any photo from anywhere.
  • Location-level control: Turn photo verification on or off for each location in Location Settings.
  • Familiar experience: Works just like the Kiosk photo clock in, now available on mobile.

How does it work?

  1. Go to Location Settings for the site you want to enable photo verification.
  2. Toggle on Photo Verification for mobile clock in/out.
  3. When enabled, employees will be prompted to take a live photo during the clock in/out process—gallery uploads are blocked.
  4. Review photos alongside timesheets for extra peace of mind.

When will it be available?
This feature is now available for all accounts. It is off by default, so you can enable it whenever you are ready - no disruption to your current workflows.

Overtime premium reporting for “One Big Beautiful Bill” (Public Law 119-21)

What’s new ✨

A new, free overtime premium report that helps you meet federal tax requirements. No more manual calculations.

  • See the premium instantly: View the exact “premium” (the extra 0.5x) for weekly overtime pay, ready for federal tax deduction purposes.
  • Retroactive and future-proof: Run the report for 2025 and 2026 to meet both current and upcoming compliance needs.
  • Simple W-2 prep: Get the data you need for Box 12, Code TT, without extra work or guesswork.

How does it work?

  1. Go to Analytics and select the Weekly overtime report under the COSTS section.
  2. Choose your date range. Run it for any period from January 1, 2025, onward.
  3. Review the new columns: Pay Rate Multiplier Value and Taxable Overtime Portion show exactly what you need for federal reporting.
  4. Export or share the report with your payroll or tax team for W-2 preparation.

When will it be available?

Bradford Report (Analytics+ and HR only)

Say hello to the new Bradford Factor report, available right within Deputy Analytics+. 

This report turns your team's raw leave data into actionable insights, helping you automate absence analysis to support your teams. Worry less about crunching numbers, and focus more on supporting your people to do their best work.

What’s New ✨

The Bradford Report allows managers to quickly come to a retrospective view of employee’s Bradford scores. Here's what you can do with the new Bradford Report:

  • Smart consolidation: The report automatically groups consecutive leave days into single spells.
  • Colour-coded concern ratings: Get an instant, at-a-glance understanding of absence patterns with clear ratings (Serious, Medium, Initial, Low).
  • Interactive filters: Easily search for specific employees or drill down into the data by score and absence count.
  • Location-specific insights: Quickly spot which locations are most affected by problematic absenteeism. 

How does it work?

As a system administrator you can access the Bradford Report from Analytics+

These are the steps to access it:

  1. Login to your Deputy account
  2. Click on the Analytics tab on the top ribbon
  1. Click on View all reports
  1. Scroll down to the HR folder in the Reports side navigation 
  2. Select the Bradford Score report

When will it be available?

This report is now available as part of the Deputy Analytics+ subscription (or HR add-on).

Date Effective Pay Rates - Early Access

Intorducing Date Effective Pay Rates, a highly requested feature designed to simplify how you manage compensation changes. We know the administrative burden of waking up on a specific day just to manually update an employee's pay rate to ensure payroll accuracy. With this update, you can now schedule pay changes in advance, ensuring your labor costs remain precise and your team is paid correctly without the manual stress.

What’s New ✨

  • Future-dated changes: Schedule pay rate increases or decreases in advance for promotions, annual reviews, or age-based award changes.
  • Automated accuracy: Deputy automatically applies the correct rate based on the specific day a shift is worked, ensuring your schedule costs and timesheets are always accurate.
  • Historical visibility: Easily view a history of past pay rates and look ahead at upcoming changes directly from a team member’s profile.
  • Cost confidence: Future schedules will automatically reflect the upcoming rates, giving you a true picture of your projected labor costs.

How does it work?

  1. Navigate to the People tab and select the relevant team member.
  2. Go to the Employment section and locate Pay Details.
  3. Click the date selector next to the current effective date and select Add pay details.
  4. Choose the Effective Date you want the new rate to begin.
  5. Edit the necessary fields (such as Base Rate) and click Save. Deputy will now automatically apply this rate starting on the date you selected.

When will it be available?

This feature is currently in Early Access and will be rolling out to all customers over the course of the year.

Automated Time Off in Lieu (TOIL) for Deputy Payroll

We are excited to announce that End-to-End Time Off in Lieu (TOIL) management is now available in Deputy Payroll.

What's new ✨

We know that managing TOIL can be a manual balancing act - relying on memory to bank hours, manually updating spreadsheets, and somewhere to track manual balances. Processes like this make it difficult to stay compliant with specific award or Enterprise Bargaining Agreements without hours of manual admin work.

We’ve solved this by building a powerful, new end to end system that can handle even the most complex requirements. Yet it is simple enough that you can “set and forget” utilising Deputy's powerful pay rate builder.

How does it work?

  • Smart Accrual Rates - You can now configure TOIL settings at the pay rate level. Whether you need a standard 1:1 swap or a specific rule (like accruing 1.5 hours of TOIL for every 1 hour of overtime worked on a Saturday) the system handles all the complex math for you.
  • Automated banking of TOIL hours - No more manual data entry, or having to remember to update the excel spreadsheet. When you process a payrun, approved timesheets containing TOIL are automatically calculated and banked into the employee’s TOIL balance inside Deputy.
  • Allow employees to select per shift - Some awards and agreements require employees to be able to make the decision about being paid overtime or bank TOIL hours at the end of each shift. Deputy can be configured to have this question asked at the end of each relevant shift, and on specific pay rates.
  • Zero learning curve for teams - Implementing this requires no training for your regular staff. Employees continue to apply for TOIL using the existing leave request process they are already familiar with.

By automating the flow of data you remove the risk of human error. Once your rates are configured, the system works in the background to ensure your TOIL calculations are accurate and your team is accruing what they are entitled to - automatically.

You can setup custom accrual rates for Time Off In Lieu per pay rate inside the Deputy Pay Rate Builder.

Time Off In Lieu banked hours are automatically shown on the payrun after importing timesheets into Deputy Payroll Australia.

Timesheet calculations have a clear view of when Time Off In Lieu has been calculated during a timesheet approval.

When will it be available? 

This feature is available to all Deputy Payroll Australia users right now.

Leave Entitlements Bulk Management

Introducing Leave Entitlements Bulk Management, a brand-new feature designed to save you time and minimise manual errors when managing your team’s leave data. Previously, bulk actions were limited to adding entitlements, forcing managers to individually update records one by one — a process that was often time-consuming and error-prone. With this update, we have removed that friction, giving you greater speed, accuracy, and flexibility to manage leave policies at scale.

What’s New ✨

  • Bulk Add: Efficiently add multiple leave entitlements to one or more employees in a single action.
  • Bulk Remove: Quickly remove existing leave entitlements for one or multiple employees, completely eliminating the need for manual, individual deletion.
  • Bulk Replace: Overwrite existing data by replacing current leave entitlements with new ones, ensuring your records are always up-to-date with the correct values.

How does it work?

  1. Navigate to the People tab and use the filters to display the relevant team members.
  2. Select the checkboxes next to the team members you wish to update, or select all.
  3. Click the Bulk actions menu and select Manage leave entitlements.
  4. From the modal, choose your desired action: Add, Remove, or Replace leave entitlements.
  5. Select the specific leave entitlement(s) from the dropdown list and click the confirmation button (Add/Remove/Replace) to apply the changes instantly.

When will it be available?

This feature will be rolled out progressively to customers starting from December 2025. 

Once available, you will find this functionality within the People tab under the Bulk actions menu.

Visa Entitlement Verification Online (VEVO) checks in Deputy HR

Deputy HR onboarding has been upgraded to include built-in VEVO checks and an enhanced Right to Work workflow. 

What’s New ✨

Managers can now conduct right-to-work (Visa status) checks when onboarding new hires, and for allexisting employees.

How does it work?

Once enabled, new team members will move through an improved onboarding flow that collects all the information required to run a VEVO check directly within Deputy HR. As soon as the onboarding form is submitted, managers can complete the VEVO check instantly.

When will it be available?

To activate it, go to your Business Settings → Right to Work and connect your account to VEVO.

💸 PAYSLIP UPGRADE! Email Notifications & Web Access are LIVE for Deputy Payroll

We've just launched a major improvement to payslip access experience giving both employers and employees more power and flexibility as to how they access their payslips.

Web Access for All - Employees can now view and download their payslips directly on the Deputy web platform—a perfect alternative for those who prefer desktop or don't have a smartphone.

Instant Email Notifications - Right at the end of a pay run, employers can send out email notifications to let everyone know their payslip is ready. (For high security, we send a secure link, not the PDF)

Always in control! - Need to notify a specific location, employment type, or just a single person about a payslip? Our filtering options make that easy.

How does it work?

When you complete and lock a payrun in Deputy Payroll now, a new option will appear allowing you to send payslip notifications to your employees.

Clicking Send Payslips will then open a dialog allowing you to select which employees to notify.

You can choose to email every employee, or you can filter based on options such as:

- Locations

- Employment type (Full Time, Casual etc)


Once you have selected who you want to email payslip notifications to, click Email Payslips and the notifications will be sent to employees. Allowing them to login to Deputy and view and download their payslips on the web application.

Availability

This is now available for all customers with Deputy Payroll in the Australia region.

Leave Balance Limits: Automated handling of negative leave balances

What’s new?

We're excited to introduce Leave Balance Limits, a new feature designed to give you greater control, flexibility, and financial oversight when managing your team's leave requests.

You can now set specific thresholds on leave policies to prevent employees from accruing excessive negative balances, ensuring your leave management process is compliant with your company’s policies and reduces the time spent on manual reviews.

 

What is it?

Leave Balance Limits allow you to configure rules directly within your leave policies. Here’s what you can do:

  • Set custom balance limits: Define specific positive or negative leave balance thresholds for each leave policy.
  • Choose your enforcement style: Either automatically block employees from submitting requests that exceed the limit, or warn and allow the request to proceed while instantly notifying the manager for review.
  • Gain granular control: Because limits are set at the policy level, you can have different rules for different leave types - for example, stricter limits on paid time off versus more flexible rules for sick leave.

 

How does it work?

As a system administrator or manager you can set up leave balance limits in the leave policy builder. These are the steps to set things up:

1. Select Business Settings from the drop-down menu under your name on the top right of the web page.

2. Click on the Leave policies tab

3. To edit an existing policy, hover over the policy and click Edit. Alternatively to create a new leave policy entirely, select Create leave policy

4. In the leave policy configuration, scroll down to the 'Balance options' section and select Leave request balance limit so that it opens the setting 'Set balance limit for leave requests'


5. Configure your limit settings:

  • Set balance limit in days: Enter a positive or negative value for the limit. This figure will act as the minimum allowable balance for this leave policy. Example: to allow your team members to go into 2 days' negative leave balance, enter -2 in this field.
  • Action when limit exceeded: Choose one of the following options:

    • Block requests that exceed limit: Prevents employees from submitting leave requests that would exceed the set limit
    • Allow requests that exceed limit and notify managers: Permits the leave request to be submitted and notifies the assigned manager

6. Save your leave policy changes

Callouts

Leave balance limits for future leave years will not be supported for this version.

For this release, the system applies limits only to leave requests with start dates in the current calendar year. Leave requests starting in the next calendar year will bypass these restrictions and be processed normally.

 

Availability 

This feature will be rolled out progressively to all eligible customers starting in October 2025. 

Once available, you will find the new settings within your existing Leave Policy configuration page.
