Leave Balance Limits: Automated handling of negative leave balances

What’s new?

We're excited to introduce Leave Balance Limits, a new feature designed to give you greater control, flexibility, and financial oversight when managing your team's leave requests.

You can now set specific thresholds on leave policies to prevent employees from accruing excessive negative balances, ensuring your leave management process is compliant with your company’s policies and reduces the time spent on manual reviews.

 

What is it?

Leave Balance Limits allow you to configure rules directly within your leave policies. Here’s what you can do:

  • Set custom balance limits: Define specific positive or negative leave balance thresholds for each leave policy.
  • Choose your enforcement style: Either automatically block employees from submitting requests that exceed the limit, or warn and allow the request to proceed while instantly notifying the manager for review.
  • Gain granular control: Because limits are set at the policy level, you can have different rules for different leave types - for example, stricter limits on paid time off versus more flexible rules for sick leave.

 

How does it work?

As a system administrator or manager you can set up leave balance limits in the leave policy builder. These are the steps to set things up:

1. Select Business Settings from the drop-down menu under your name on the top right of the web page.

2. Click on the Leave policies tab

3. To edit an existing policy, hover over the policy and click Edit. Alternatively to create a new leave policy entirely, select Create leave policy

4. In the leave policy configuration, scroll down to the 'Balance options' section and select Leave request balance limit so that it opens the setting 'Set balance limit for leave requests'


5. Configure your limit settings:

  • Set balance limit in days: Enter a positive or negative value for the limit. This figure will act as the minimum allowable balance for this leave policy. Example: to allow your team members to go into 2 days' negative leave balance, enter -2 in this field.
  • Action when limit exceeded: Choose one of the following options:

    • Block requests that exceed limit: Prevents employees from submitting leave requests that would exceed the set limit
    • Allow requests that exceed limit and notify managers: Permits the leave request to be submitted and notifies the assigned manager

6. Save your leave policy changes

Callouts

Leave balance limits for future leave years will not be supported for this version.

For this release, the system applies limits only to leave requests with start dates in the current calendar year. Leave requests starting in the next calendar year will bypass these restrictions and be processed normally.

 

Availability 

This feature will be rolled out progressively to all eligible customers starting in October 2025. 

Once available, you will find the new settings within your existing Leave Policy configuration page.

Time Clock 2.0 launches with core functionality and micro-scheduling support. Features like newsfeed access, offline mode, and employee self-service capabilities (shift swapping, leave requests) will be added in future releases. Set Levels and Rates for Australian Awards in a Snap

Stop juggling spreadsheets and award pay guides! As we continue to support your pay compliance efforts, Pay Rate Builder now offers automatic rate management for select awards. System administrators and advisors can now select the appropriate level using the Fair Work guide as the minimum wage for each selected classification. Over time, this will be automatically managed in line with Fair Work pay rises, including on team members' birthdays.

How do I set this up?
By navigating to the Pay Rate Builder, you can now select certain awards to see the inbuilt levels and junior rates. These can then be applied to your team members from the employee profile. If you need to edit your pay rates, automate allowances or more, you can also use the Pay Rate Builder for this.



Note these will become the default experience in the coming weeks, and before the end of the year all applicable awards will be migrated to this experience. It is up to your discretion what levels (if any) to assign to your staff and if you use this - you can always override the values set as per current behaviour. More communication will come via email on this.

What does this mean when Fair Work updates?
Deputy's team of award experts periodically review the award and will update the classifications. If a team member is below the recommended value, they will automatically be upgraded to the new rate. Communications of all such changes will be published and sent before updates are made. We will never reduce a person's pay.

How do junior rates work?
Juniors are still required to be set up with their correct base rate when being set up. However from this point on, each birthday their rate will automatically be increased to the next increment. For more, see here.

What's not yet available?
Setting these levels in flat file is still a work in progress, but we're on it and should have it done soon.
Similarly, we'll have these into Analytics for reporting on quickly as well.

Anything I should check?
We are recommending you validate export codes are still correct for all team members, as this change will create new contracts that may not share identical export codes.
It is the your responsibility to assign the levels to their employees, we do not have this data to do this on your behalf.
Employees on Area Based pay rates will not be migrated.

Enhanced filtering on the Deputy schedule - get early access here!

We've made it even easier to narrow down to the right group team members by adding the ability to filter your employee list by as many criteria as you need. We've added some much requested options such as:

  • Employment type
  • Locations
  • Stress profiles
  • Tags

just to name a few. This will be rolling out before the end of the year, but as a nice simple lightweight change, we are now opening this up to any customers who need greater flexibility when it comes to honing into specific sets of staff members and shifts when scheduling.

Build Basic Shift Patterns In the Schedule

Rolling out to accounts is a very lightweight approach to be able build basic shift patterns for a set period of time such as:
  • Work 4 shifts
  • Rest for 2 days
Or any other combo you can think of! This works especially well for teams who work rotations that don't mirror up to your typical week and shifts are known well in advance. 

To access this, from the add shift popup:

  1. Select options
  2. Select "Repeat for set pattern" 
  3. Choose your pattern and end date
  4. Watch your shifts create until the end date you set

Monitor hours breakdown in schedule area view

What's New?

To help managers gain a clearer understanding of labor hours per area during scheduling, a new feature has been introduced:
  • Access it via: Schedule Tab → Insights dropdown → Show Hours in Areas
  • A breakdown of daily total hours by area, comparing:
    • Scheduled hours (including both filled shifts and all shifts)
    • Daily budgeted hours per area
    • Actual hours (from timesheets, available only when viewing past dates)
    • Compatible with sub shifts from Micro-scheduling

Why the Change?

By comparing budgeted, scheduled, and actual hours in one view, managers can make more informed, data-driven scheduling decisions—without the need to toggle Areas on and off in the Stats Panel to check daily hours data.This feature also serves as a valuable add-on, offering a more tailored experience for managers to monitor Micro-scheduling hours by area.
