Set up Advanced Stress Profiles from Business Settings

What's new

Non-Enterprise customers can also set the advanced stress profile via Business Settings. This feature will be rolled out to everyone in the next 3 days.

  • Access advanced stress profiles via Business Settings: Managers can access their stress profiles under the “People” tab via “Business Settings”.

  • View/Create/Update stress profiles in one place : When managers access the stress profile via Business Settings, they will be able to create new custom stress profiles or view/update existing stress profiles too.

Why

Advanced stress profiles is an essential tool not only for Enterprise customers, but also for Non-Ent SMB customers to efficiently manage their employee’s schedules to ensure themselves to be aligned with labor compliance standards etc.

iOS Mobile: Invite Your Team From Payroll 📱

What's new

  • Invite your team from your Payroll/HR software - login to your payroll or HR software, choose the employees you want to invite and invite them to Deputy!
  • Supported integrations - Xero, Gusto, Quickbooks + more coming soon


Why

Deputy knows that many businesses run their operations on mobile and we want to make it easier for you to get set up on Deputy. You already have your team's information in another system so we use that to make adding your team easier so you need to do double entry. 

How to use it

Available to all customers on iOS Deputy App version 9.0.2 or later.

Leave Management Updates - Amend approved leave request & much more!

What's new

The below updates are available on Web-app only.
  • Amend or cancel upcoming, approved leave request - Employees can now cancel or change their upcoming, already approved leave request. Introduced a new setting that controls this permission with Business Settings > Leave > Allow Employees to amend or cancel their approved leave request.
  • View leave balance while approving the leave request - While approving a leave request, the manager can now view how the request will impact the leave balance of their employees. This also dynamically updates as changes are made during the approval process.
  • View Approving Manager - Approving manager for the leave request is now displayed on the leave request. 
  • View who else is on leave - While approving a leave request, managers can now view who else is on leave during the period requested by the employee.
  • View ‘Future Balance’ - Both employees & managers can now view the future balance of their entitled leave. Previously Deputy only displayed the ‘Leave balance’ & ‘Upcoming leave’, leaving the calculation to be done by the employee/manager.
  • Leave Requests Widget on Dashboard - We have introduced a new ‘Leave Requests for me’ widget which displays only the pending leave requests that have you as the approving manager.
  • Improved look & feel - We have improved the user experience of the leave approval process for a manager, items such as bulk selecting leave types and days should be quicker & more intuitive!

Leave management in a business can be prickly. We understand that ensuring you have all the relevant information to make a decision on your staff’s leave while operating a business with appropriate coverage can be very difficult. We have decided to surface the details that will assist both employees and managers to handle the leave process a little more seamlessly.

Changes to Enabling Support Access

What's new

Enabling support access will now give you an option to give access for a set duration. These periods can be: 

  • 24 hours
  • 48 hours
  • 1 week
  • 2 weeks
  • 4 weeks
  • Indefinitely


Why

In order to protect your business, your employees and your data, we've made support access expire so that you don't have to remember to turn it off once we've helped you through an issue. 

We want your explicit consent every time we access your account to support you so that you are in full control of who does and doesn't have access to your account. 

When will I see this change?

  • Customers who sign up after 10th Feb 2021 
    • Support access will be enabled by default for 4 weeks
  • Premium customers who signed up before 10th Feb 2021
    • If you have support access enabled, this will automatically transition to the 4 week timer starting the 17th Feb
  • Enterprise customers who signed up before 10th Feb 2021
  • If you have support access enabled, this will automatically transition to the 4 week timer starting the 24th Feb

Introducing Deputy's new look and feel ✨

Wherever you choose to use Deputy, from your desktop or preferred device, you’ll experience a fresh, new look and feel as we make the most exciting update to our brand yet. You and your team will see a new logo, a new colour palette, and a refreshed experience roll out across Deputy in the product, on our website, and through all our communications. 

What's new ✨

Our logo and app icons
First thing you'll notice is our new logo and updated app icons.

Schedule improvements
We've worked to modernise the schedule tab: removing unnecessary lines, adding a little extra spacing and generally tidying up a bit. As part of these updates we've simplified the shift status colours: unpublished shifts are now grey, and empty shifts are white. 

Refreshed web app
Across the web app you'll see our updated colour palette (now with added contrast to meet accessibility guidelines), icons and components.

Mobile apps
The updated colour palette and icons continue through our mobile app creating a consistent experience wherever you're using Deputy.

And of course, everybody's favourite... dark mode 🦇🌚

Kiosk and time clock apps
Last but not least, we've our Kiosk and Time clock

What isn't new 😅

It's important to note, the way you use Deputy hasn't changed. These updates are purely a visual update across our product.

Manage your part-time staff's agreed working hours

What's new

  • Set agreed working hours, by allocating the number of hours your part-time staff will work for the week

  • Create and assign work periods, to customise agreed working hours to suit your unique business rostering cycles


  • Better manage overtime through selecting when overtime payments kick if an employee exceeds their agreed working hour limit

Why

In Australia, managers do not have a way to manage part-time employee’s agreed working hours to ensure they are getting the correct overtime pay. Part-time awards follow the full-time award rule for overtime, which is usually 38 or 40 hours. This means if a PT worker is contracted to work 35hrs a week, their overtime rate will not apply until 38 or 40 hrs, which provides incorrect pay for part-time workers.

What's next

  • 2-weekly & 4-weekly work periods 
  • Managers will be able to specify the agreed days and times for an employee
  • Scheduling enhancements, get alerts when you’re scheduling employees over the agreed hours

Setting up Daily or Weekly Budget in Business Insights

What's new

  • For new customers, you can setup either daily or weekly budgets for both wages and hours in the new Budget setting component.


  • For existing customers, you can switch budgets between Daily and Weekly easily by clicking "Budget settings".

  • Better plan your schedules by comparing Budget vs. Scheduled in stats panel. You can hover-over the weekly or daily summary to compare your scheduled hours/wages with budgets .

Why

We understand different business have different ways for setting up the budgets. By supporting business to set up their budget in either weekly or daily, it could help you to schedule your employee more efficiently.

  • As a Manager, you can now View and Approve Open Shift requiring approval on Deputy Mobile App
  • You can approve directly from the app dashboard or scheduling screen
  • Easily sort and approve employees that were first to request, cost or by alphabetical order

What's new

  • Non-worked type area settings - Managers now can setup a non-worked type area where any shift happened there will not be calculated into the ordinary total time, plus NO stress profile or overtime pay rate will be triggered neither.  

  • Sleepover shift management - Managers can also setup sleepover allowance via SCHADS awards by marking particular sets of area who contains the specified name to be Sleepover Area.  By doing so , you will be able to pay your employee's sleepover shift accurately by one click!
