If your business runs on seasons, for example a ski resort that wins down over summer or a beachside venue which goes quiet in winter, you know the annual grind of offloading those temporary staff you bring in for the busy period and hiring them back once the season turns again. 

What’s New ✨

Until now when using Deputy Payroll, you have been required to fully terminate team members to keep them out of your payruns only to add the returning staff back in to the business again in a few months. You can now pause a team member in Deputy Payroll instead. A paused team member is taken out of your payruns and you're not charged for them as active staff but their profile, pay history and payroll reporting all stay intact. When they return again, one click brings them back fully into service as if they had never left.

How does it work?

1. With Deputy Payroll Australia enabled, open the employee profile and go to the Personal tab. 

2. Click the Archive team member button

3. The above dialog will display, if the employee is intended to return in the future, select the Pause employment option and hit archive.

The employee will now be paused, and no longer appear in payruns or schedules.

Why you will love it?

Keep your seasonal teams, and use Deputy Payroll without the additional admin: No more terminating and re-onboarding people who were always coming back to the business in the next season.

Pay only for the people are working: We do not bill for Paused team members allowing you to reduce costs alongside reduced revenue during the off seasons.

Nothing is lost: Pay history and reporting are preserved, so year end compliance and reporting stays complete.

When will it be available?

Pausing employees is available now to all Deputy Payroll Australia customers.

Offer flexibility to your employees and split their wages across two bank accounts, offering team members more options on how their pay is distributed.

What’s New ✨

Split net pay: Team members can now have their net pay split across up to two bank accounts; a primary account and a secondary account, all setup from within the existing bank account area of the payroll profile.

Fixed or percentage:  Splits can be a fixed dollar amount or a percentage

Automatic remainder: The remaining amounts after any split is automatically calculated and paid into the primary account. 

Duplicate detection: Ensures team members do not enter the same bank details twice and if a primary account is removed, the secondary is automatically promoted ensuring pay day can always happen.

Flows to the ABA file: Splits are automatically added to the ABA file so no disruption to pay day processes.

How does it work?

Open the team members profile, go to the Payroll tab and find the bank accounts section.

1. Add a second bank account with account name, BSB and account number.

2. Pick your split: Fixed amount ($) or Percentage (%)

3. Set the amount. The primary account picks up whatever's left over.

Why you will love it?

Retain team member flexibility: Moving to Deputy Payroll means you can continue to offer your team members the ability to have split wage payments, no disruption to team member options.

Seamless process: No per pay run admin, no spreadsheets on the side, all handled in the exported ABA files automatically. 

When will it be available?

Multiple bank accounts in employee profiles is available now for all Deputy Payroll users in Australia.

We're releasing a performance improvement to how the Add Shift Popover fetches recommended employees especially those borrowed from non-associated locations, delivering faster load times with a minor-to-moderate change to the Add Shift Popover.

What's new:

Previously, the popover fetched every employee across all selected locations, including borrowed employees (those not assigned to the location in their profile). 

Now, the initial list only loads employees assigned to those locations. Borrowed employees are no longer fetched by default — managers can load them on demand via a "Show more" button, or find them directly through the assignee search box.

Why this matters for you:

• Businesses that don't borrow employees (the majority) will see no change to the list — just a faster popover.
• Businesses that do borrow employees will see the recommended list load noticeably faster, and can still access the full list as before with one extra click — with a shorter wait overall than before.

When will it be available?

This feature is currently rolling out to every Deputy customer.

Help managers better understand per employee's hours/costs to make more informed data-driven decisions by lining up upcoming schedules, in-progress timesheet, completed timesheets with/without leave data together.

Hours and costs tailored to the period you're viewing: The mini-profile automatically shows the most relevant data based on whether you're looking at a past, current, or future period:

• Scheduled — planned hours and costs from scheduled shifts, shown across all periods. Use this to balance workloads fairly across your team.
• Actual — completed hours and costs from submitted timesheets (approved or pending approval), shown for past periods. Compare against Scheduled to see how your plan played out.
• Projected — shown for the current week(period) only, Projected values combine completed timesheets, in-progress shifts, and upcoming scheduled shifts to give you the best estimate of where the current period's hours and costs will land — so you can adjust before the week ends, not after.

New business setting: choose whether leave counts:  A new self-serve setting, Include leave in schedule calculations, allows System Administrators to control if leave data is included in the mini-profile. When enabled (as default), leave hours are counted in an employee's taken hours for team members with regular working hours across Scheduled (leave requests), Actual (leave timesheets), and Projected (both) values.

Expandable Availability list: surface employee availability in the mini-profile as an at-a-glance summary, expandable to reveal the full list.

With PayDay Super now required for Australian employers, we've made some changes to Deputy Payroll to help you meet your reporting requirements.

What’s New ✨

New Super column on pay run listing: A new column appears on the pay run list inside Deputy Payroll giving you an instant snapshot update on how the linked Super submission is progressing and any actions that may need to be taken

Natural part of the pay run flow: Paying and reporting Super is now included as part of the pay run process reminding you to submit your Super reports to the BEAM digital clearing house for processing at the same time.

Full audit log: Super submissions are now linked to the pay run, allowing you to easily see the full history of what happened with any Super payments related to that pay run. A one stop shop to get the full story.

Single Touch Payroll updated: The STP submission process behind the scenes has been updated to handle the requirements surrounding Qualifying Earnings reporting.

Choose who to include in a submission: We know there can be times when you might be waiting on information from a new team member, so Deputy Payroll offers the flexibility of who and who not to include in a Super submission. In this scenario once you the required data you can simply perform another Super submission including that team member only.

How does it work?

When using the BEAM digital clearing house (including for no additional cost with Deputy Payroll), Super is now processed as part of the natural pay run flow. There is now no need to go to a seperate section of Payroll just to submit a Super report. The new Super column on the pay run listing surfaces the live status of Super processing for the related payments and each BEAM submission is tied back to the originating pay run giving a complete traceable record of every Super event against every pay run.

Why you will love it?

Smooth process to handle higher frequency - Under Payday Super it is highly likely you will be submitting Super many more times each year than before. Having that  as part of the natural pay run process allows you to smoothly transition into the new requirements, and is a constant reminder that Super needs to be processed on pay day now.

Real time Super status - The Super column on the pay run listing leaves no doubt as to how far a payment has been processed and any actions you may need to take.

Clean audit trails - You will love the ease of auditing Super payments linked to pay runs, with a one stop shop showing you the full history of what has and has not been submitted and when.

Flexibility - When submitting Super reports, you can choose from including all team members, team members without missing data or manually selecting staff to include, giving full flexibility and allowing the late submission of new team members easily.

Keep sensitive pay data visible only to the team members who need it - new permissions give you full control over who sees pay rates and costs across Deputy.

What’s New ✨

New Permissions: A new permission in Deputy lets you control who can see individual pay rates and costs across Scheduling, Timesheets and team member profiles.

Hidden, not just redacted: Team members without this permission can still do everything their role requires - building schedules, approving timesheets - but pay rate fields are removed from view entirely. They're not masked or greyed out; they simply don't appear.

API protection built in: The Deputy API now respects sensitive data permissions too. If the user authorising a third-party integration can't see pay rates, the integration can't either - giving you tighter control over what connected apps can access.

Granular permissions with custom roles : For those with Deputy Pro and custom roles enabled, you can go even further - for example, a System Administrator who manages your entire account but has no access to pay rate data or Deputy Payroll.

How does it work? 

1. As a System Administrator, go to Business Settings -> Access & permissions.
2. Scroll down to Costs and pay permissions.
3. Select which roles can see what. View costs controls whether a role sees cost data in areas like Scheduling and Timesheets. Manage pay details controls whether a role can see individual pay rates on team member profiles.

Note: Manage pay details requires View costs. To hide all pay and cost data from a role, unselect it in both boxes.

This feature is currently rolling out to Australian based Deputy customers with other regions to follow soon.

A rebuilt access level and permissions experience that lets you create custom roles with clearer, more granular control over what people can see and do.

Scheduling managers can now freeze the Open/Empty Shift row in the Schedule Employee views — keeping it pinned and visible while they search for available employees and fill un-assigned shifts more efficiently.

What’s new:

The freeze toggle is available in two places:

• Right-click context menu on the Open/Empty Shift row
• Employee menu dots (⋯) on the cell of Open/Empty shifts

This feature keeps the un-assigned shift row visible and interactive throughout the search flow, so managers can find an employee and drag the shift to them in a single, uninterrupted motion.

How to use it

1. Set an appropriate pay rates
This will work for our key library rates as well as anything built on our pay rate builder. If you have a specific pay rate that isn't yet supported, we'll be adding these in thefuture

2. Location settings:
Go to your Location Settings and turn on “Show Overtime Warnings.” This will enable overtime alerts for all schedules at that location.

3. Clicking on cost breakdowns:
When adding or editing a shift, click the cost shown in the shift pop-up. You’ll see a detailed breakdown of what makes up the total cost—including regular, overtime, and any other pay components.

4. Observing warnings:
If a shift will push an employee into overtime, you’ll see a clear warning right in the shift pop-up. Click the warning for more details, so you can adjust before costs add up.
