Sensitive Data Permissions for Pay Rates

Keep sensitive pay data visible only to the team members who need it - new permissions give you full control over who sees pay rates and costs across Deputy.


What’s New ✨

New Permissions: A new permission in Deputy lets you control who can see individual pay rates and costs across Scheduling, Timesheets and team member profiles.

Hidden, not just redacted: Team members without this permission can still do everything their role requires - building schedules, approving timesheets - but pay rate fields are removed from view entirely. They're not masked or greyed out; they simply don't appear.

API protection built in: The Deputy API now respects sensitive data permissions too. If the user authorising a third-party integration can't see pay rates, the integration can't either - giving you tighter control over what connected apps can access.

Granular permissions with custom roles : For those with Deputy Pro and custom roles enabled, you can go even further - for example, a System Administrator who manages your entire account but has no access to pay rate data or Deputy Payroll.

How does it work? 

1. As a System Administrator, go to Business Settings -> Access & permissions.
2. Scroll down to Costs and pay permissions.
3. Select which roles can see what. View costs controls whether a role sees cost data in areas like Scheduling and Timesheets. Manage pay details controls whether a role can see individual pay rates on team member profiles.

Note: Manage pay details requires View costs. To hide all pay and cost data from a role, unselect it in both boxes.

When will it be available?

This feature is currently rolling out to Australian based Deputy customers with other regions to follow soon.
