What's new ✨

To better reflect the diverse nature of the Deputy community and those who use our product each day, we’ve changed the default for term for “employee” in Deputy to “team member”.  For existing customers we also have the ability for each business to customise this term, so your Deputy account can accurately reflect how you refer to and speak with your team each day. This change will be effective across our web, mobile apps and be visible for all members of your team who use Deputy.


Why 🌟

Deputy’s vision is to create thriving workplaces in every community. This change is about recognising the traditional employee-manager relationship is evolving over time, and may not exist in every business. It's also about reinforcing that a thriving business is built on mutual respect and collaboration between all members of a team, regardless of their role.

How to use it 🤓

All new customers will have the updated "team member" term applied to their account by default. For existing customers or those that would like to update the term to fit their business, we have a setting under Custom Terms in your Business Settings.

Repeat shifts on mobile πŸ”πŸ“²

What's new ✨

Managers using the Deputy iOS or Android app can now repeat shifts for the next seven days, with a few simple taps.

When creating shifts on mobile, you can now add repeat shifts for the week ahead by simply choosing the days you want this shift to apply to.

Why

We have made this change to save you time and to make scheduling more efficient from the Deputy mobile app ⏱

How to use it

1. Tap inline on the Schedule (or use the + button) to start adding a shift.

2. Select the days you want the shifts created for in the 'Repeat this week' section and tap Add shifts!

Xero - Mark New Pay Items Reportable As W1

What's new

Create new Xero Pay Items Reportable as W1 

When exporting payroll to Xero, customers can now mark whether newly created Pay Items will be Reportable as W1 on Activity Statement in Xero. 

If you have any Pay Items in Xero which already exist, you will need to go back and manually update each individual part item as Reportable as W1 as appropriate.

Why

Customers have given a lot of feedback that most earnings for employees will be reportable as W1 to the ATO, however our Xero integration previously created all new Pay Items with Reportable as W1 set to off. Deputy believes that future Pay Item creation in Xero from Deputy will make tax time for a lot of customers and their accountants a lot easier.

This improvement is now available to all Australian customers.

Approve Open Shift Requests from the Web Dashboard

What's new

Approve Open Shift requests straight from the DashboardWe have introduced a new web Dashboard widget which will now enable managers to view all open shift requests in one place & approve them swiftly.

wait there's more...! 😆

 Open Shift defaults to requiring approval: If an open shift is created on the web Schedule tab with ‘Requires approval’, this setting will be remembered for all other open shifts created.


Why

Open shifts with approval since its launch last year has been one of the most popular features amongst Deputy customers. With feedback, we continue to improve this important feature. We really appreciate you take the time to leave feedback!

Square: Timesheet & Employee integration working for all countries

What's new

We've updated our Square integration so that the Timesheet and Employee integrations to work for customers outside of the US.

  • Timesheets - automatically add timesheets from Square into Deputy
  • Employees - automatically add new employees from Square into Deputy

Why

Previously, the ability to access timecards and employee information was not available to customers outside of the US via the Square API. Since then, Square has updated this however Deputy never updated the integration to reflect this until now.

How to use it

If you are a non-US customers and have connected to Square in the past, you'll need to completely disconnect your Square account in Deputy and re-connect it (requires logging back into Square).

First thing you'll notice is our new logo and updated app icons.

Schedule improvements
We've worked to modernise the schedule tab: removing unnecessary lines, adding a little extra spacing and generally tidying up a bit. As part of these updates we've simplified the shift status colours: unpublished shifts are now grey, and empty shifts are white. 

Refreshed web app
Across the web app you'll see our updated colour palette (now with added contrast to meet accessibility guidelines), icons and components.

Mobile apps
The updated colour palette and icons continue through our mobile app creating a consistent experience wherever you're using Deputy.

And of course, everybody's favourite... dark mode 🦇🌚

Kiosk and time clock apps

It's important to note, the way you use Deputy hasn't changed. These updates are purely a visual update across our product.

Manage your part-time staff's agreed working hours

What's new

  • Set agreed working hours, by allocating the number of hours your part-time staff will work for the week

  • Create and assign work periods, to customise agreed working hours to suit your unique business rostering cycles


  • Better manage overtime through selecting when overtime payments kick if an employee exceeds their agreed working hour limit

Why

In Australia, managers do not have a way to manage part-time employee’s agreed working hours to ensure they are getting the correct overtime pay. Part-time awards follow the full-time award rule for overtime, which is usually 38 or 40 hours. This means if a PT worker is contracted to work 35hrs a week, their overtime rate will not apply until 38 or 40 hrs, which provides incorrect pay for part-time workers.

What's next

  • 2-weekly & 4-weekly work periods 
  • Managers will be able to specify the agreed days and times for an employee
  • Scheduling enhancements, get alerts when you’re scheduling employees over the agreed hours

Attach files to Locations πŸ“Ž

What's new

You will now be able to attach files to your Locations in Deputy. This will help you provide additional context for your staff carrying out their shift.

1. Attach images & pdf documents 📄- Attach up to 5 files (images & pdfs) to each location. We have also increased the character limit of location notes to 5,000.

2. Attachment privacy 🔐- Location attachments can be visible to all staff or just managers.

3. View location notes & attachments on the go📱- Location notes & attachments can be viewed by staff while on shift on both our iOS and Android mobile apps.

  • Locations are central to how our customer use & setup Deputy. We are striving to help your staff have all the necessary information to do their best work.

What's new

We've introduced a simple way to get your team onto Deputy - the new Invite link feature allows managers to share a unique link with your team, enabling them to create their own profiles instead of needing to enter them yourself!

It's as simple as:

  1. Share 🔗  - share your unique link with your team into the social or messaging apps you already use
  2. Create📱 - staff follow the link to create their account and a request is sent for your approval
  3. Approve ✅  - view and approve pending requests on Deputy to add your team and start scheduling!

Why

  • We found that most managers already have their team on their phone, WhatsApp, Facebook Messenger, Groups or iMessage... but there was never an easy way to get them into Deputy. 💬
  • And sometimes you don’t always have their email address on hand and yet we ask you for it in order to invite them to Deputy. 🙅🏻‍♀️
