What’s New ✨

  • The ‘Me’ and ‘Dashboard’ tabs have merged to become the new ‘Home’ for both managers and employees, with information about shifts and business all under one roof.
  • Surfacing the right information at the right time and streamlining the experience to get to what matters:

    • Your next shift and available shifts
    • Items that require your action or approval
  • A brand new clock-in experience helps speed up the process of clocking in and clocking out



  • The new head-burger, designed as an avatar on the top left corner of the Home screen can be used to edit your profile, switch businesses, get help, and do much more.

Why? 🤔

The ‘Dashboard’ and ‘Me’ tab used to house similar information – items that require action or attention. Previously, users had to shuttle between the two to understand the business needs fully, and this merge will help streamline the overall mobile app experience for both managers and employees whilst introducing a brand-new ‘Timesheets’ tab.


How to use it

This improvement is now progressively rolling out on both the Deputy iOS and Android apps. Make sure you're always updating your Deputy app to the latest version.

An improved Timesheets experience on mobile 🕰️

What’s New ✨

  • Timesheets now have their own tab on the mobile app, making it easier for managers to approve and for your team to view and submit timesheets!
  • Managers can now view all key information needed for approval, including warnings for time and break variances from what was scheduled, when clock in was too far from locations and shift photos not matching your team’s profile, to name a few.
  • Tapping the date or profile photos means you can also approve timesheets in bulk
  • For team members, the Timesheets tab will show their own timesheets.

Why? 🤔

Timesheet approval is one of the most used features by managers on the mobile app, yet it wasn’t easy to find. By merging the Dashboard & Me tabs and introducing a dedicated Timesheets tab, you’re in for an easy, on-the-go timesheet approval experience.

Coming Soon: New multi-location selector for your schedule

What’s new ✨

The new schedule location selector (web) will now have the ability to multi-select any combination of location and areas.

Why 🤔

  • Flexibility with Multi-Select Locations - Making the schedule view more relevant by only showing exactly what you want. You can select any combination of locations & areas when scheduling
  • Efficiency - If you need to view and work across multiple areas and locations, you can now select them all in one go without having to frequently change location
  • System Performance - By showing you exactly what you want, the Deputy platform doesn’t have to find all the shifts and staff you don’t currently need to look at. This helps the schedule perform faster and is one of a long list of upcoming performance enhancements we have planned


How to use it

  1. Navigate to the schedule and you’ll find the new location selector where it’s always been
  2. Select what areas and/or locations you’d like to view
  3. Hit done to view your selection on your schedule

Labor Model support for Tasks

What's new

In early 2020, we released the feature to set up Labor Model rules that take into account demand drivers (e.g sales, transactions) when generating your required staff.

We understand however that for businesses to run optimally, staffing is also necessary to carry out tasks throughout the day regardless of variable demand drivers (sales, transactions etc.). 

So we are excited to announce that Deputy can now incorporate Tasks into the Labor Model, to give you a holistic view of your required staff.

  • Create a task & sub tasks for a specific area & add them to your labor model rules.
  • Allocate how long it may take for staff to carry out each task.
  • Set up the time period for when this task needs to be completed
  • Run the labor model to generate how much staff it needs to provide a world-class service to your customers and now also determine how much staff your require to carry out important operational tasks like unloading and sorting inventory or cleaning or conducting a stocktake.
  • Automatically create the shifts to meet your required staffing needs with Deputy’s Auto Build & Auto-fill or simply manually create them.
  • Employees will see those tasks details in Mobile Apps or Kiosk when they start their shift on that day.

The beta roll out of this feature has been completed and we are rolling it out to all customers from now on.

Leave Approval on Android ✅

What's new

It's here! You can now view leave requests straight from your Deputy Android app.

Action leave requests 🏝- Managers can now view leave requests and approve or decline on the go. You can also approve partially/date approved leave requests.

Leave balance 🔮- Compare the team member's leave balance against the leave requested to make an informed decision

Manage schedule conflicts 🙅‍♂️- View conflicts with the existing schedule & leave requests.

Others on leave 🧘- Avoid being understaffed, view if other team members are on leave during the requested period.

Capture Shift Engagement from Team Members 😁😐😕

What's new

Shift Engagement is a simple way for your team members to be heard and for managers to track team engagement and take action. 

We are looking to help you:

Capture team engagement 🤳- As team members clock out of their shift on mobile, they will get a question on how they are feeling? They can choose from Excited, Happy, Okay, Frustrated & Stressed. They can also leave a comment, all captured anonymously. 

Track & take action 📊 - A detailed report to help keep track of your team's shift engagement trend & view feedback to take action.

Repeat shifts on mobile 🔁📲

What's new ✨

Managers using the Deputy iOS or Android app can now repeat shifts for the next seven days, with a few simple taps.

When creating shifts on mobile, you can now add repeat shifts for the week ahead by simply choosing the days you want this shift to apply to.

Why

We have made this change to save you time and to make scheduling more efficient from the Deputy mobile app ⏱

How to use it

1. Tap inline on the Schedule (or use the + button) to start adding a shift.

2. Select the days you want the shifts created for in the 'Repeat this week' section and tap Add shifts!

We're deprecating On The Fly calculations for ADP and Gusto

What's new

  • We are deprecating overtime export rules (also called on the fly calculations). Currently if you export pay to Gusto or ADP (either Workforce Now or Run), you will see a group of checkboxes that allow you to configure overtime. Examples could be:

    - Setting all hours over 40 as being O/T Hours
    - Marking Sunday Timesheets as O/T Hours
    - Setting all hours over 40 as being O/T Hours
    - Marking any hours over 8 hours per day as O/T Hours

    These will be replaced by Deputys Custom Award Library going forward to help customers export accurate payslips, easier 🎉
  • Current ADP File Download exports are being deprecated, and replaced by a script that includes pay rate interpretation. This means overtime, double time and other pay conditions will be automatically generated based on the US pay rate an employee is working under.

Why

  • This change will help to make payroll exports more efficient. After assigning your employees to an award or US Pay Rate through the people page, Deputy will be able to export accurate payslips - with overtime, leave, doubletime, and other pay conditions generated automatically .

How to be prepared

  • Export Rules will be removed from the product on the 30th of July for Gusto and the 30th of August for ADP 

Employee agreed working hours

This feature is currently available for Premium accounts only


What's new

  • Set agreed working hours to specify the number of hours an employee is required or agreed to work within the work period selected. Setting this will allow you to -
    • Create and assign a work period to determine how employees’ overtime are calculated. Selecting Tuesday as the start of the work period means overtime is calculated from Tuesday-Monday. Previously, work/overtime period was determined by the location settings, Week starts with.
    • Keep track and view employee’s agreed hours while scheduling. An arrow next to the employee’s name will indicate whether you’ve scheduled your employee above or under their agreed hours. Green tick means, you’ve scheduled them just right!
    • Display warnings when your employee has exceeded their agreed hours. When adding/editing a shift, a warning will pop up if you have scheduled over your employee’s agreed hours.
