New API Documentation Launched

What's new ✨

Third-party developer integrations continue to be an integral part of the Deputy ecosystem and providing clear, concise documentation to work with is key to these partnerships and developer success.

With this in mind, we've just launched our brand new API documentation site which can be found here. On the site, you will find a wide array of documentation to help you build an integration with Deputy such as:

  • Help Guides - Use-case-based guides take you through some of the most common integration use cases (such as retrieving timesheets) from A to Z.
  • Specific Industry Guides - Payroll, HR or POS app developer? We've got specific summary pages with the most important info for you to know.
  • Code Walkthroughs - Line-by-line code walkthroughs of some of our most popular endpoints.
  • Every element documented - Every element of the Deputy API system is documented
  • POSTMAN collection - We've released an official Deputy POSTMAN collection for you to download
  • API Reference - A full API reference of each endpoint is available including the ability to connect to the API directly from the documentation.



Why 🤔

This represents the first step in a list of many improvements we are planning to make to make integrating with Deputy even easier.

Documentation is a core cog in the API ecosystem as well. In a recent POSTMAN survey, documentation was just behind reliability, performance and security in importance for what matters most to developers when determining whether to build an integration. We understand that giving you the tools to self-serve during any development is critical to your integration success.

Export onboarding details to CSV

What’s new ✨

Have you onboarded a new staff member using Deputy’s Employee Onboarding feature and wanted to extract the data? Now, you can export their onboarding details to CSV.

You can export the following onboarding information

  • Personal details
  • Banking details
  • Tax details
  • Super fund choice (AU only)
  • Right to work (UK only)

How to use it 🤓

Go to the Employee Onboarding settings > Export > then filter and search based on the required location and date range. Then click Export - It's that easy!

Why  🤓

We know that getting your new employees data out of Deputy and into other systems such as Payroll is a critical step in streamlining the Employee Onboarding process end to end.
Now you can reduce manual data entry and export > import new employees information within seconds.

Pay rate mapping with ADP Workforce Now

What's new ✨

  • Pay Rate Sync - Map your ADP Workforce Now worker types to Deputy pay rates for employee creation.



Why 🤔

We've had some feedback from early adopters of the updated ADP Workforce Now people sync that worker type pay rate mapping would be a great feature to add and a big time saver when adding employees to Deputy.

Labor Model Improvements - Permission settings & Bulk actions

Labor model feature has been improved to be more flexible and easily managed in the centralized Business Insights!
What's new ✨

  • Administrators can restrict who can manage the labor models via Business Settings now.
    • Can View/Run Labor Model : Users who have been assigned with this permission will only be able to read and run the labor models that have been set up for them.
    • Can Modify/Delete Labor Model:  Users who have been assigned with this permission will have the full power to manage (add/edit/delete/copy) labor models in their managed locations.    
    • For users who have neither of those 2 permissions,  they will not be able to see Labor models in Business Insights.
    • Enterprise customers can also set those permissions in the Employee Role app.
  • We also introduced Bulk Actions for labor model.
    • Bulk Delete will allow managers to delete selected labor models by one click.
    • Bulk Copy will enable managers to easily duplicate selected labor models from one location to other locations.





Why 🤔

Labor model is a powerful tool that will help you to make data driven decisions for your scheduling which will make a big impact on your business performance.

With the new permissions and bulk actions in place, you can manage your labor models in one centralized location and easily duplicate to other locations by your authorized managers only.

Create your own Employee Onboarding questions

What's new ✨

You can now create and ask your own Employee onboarding questions to suit your business needs.

The current onboarding form collects basic personal, banking and tax information, but what if you need to collect other important business-specific questions from your new hire? 

For example “have you had a workers' compensation claim?”, “what’s your uniform size?”, “do you have a preferred location?”.. the options are endless.

Why 🤔

Keep it all within Deputy - you won’t need to use a separate system to collect and store additional information about your team members. 

Unique & flexible - the flexibility to ask any question that might be specific to the business, whether it’s a short answer, Yes/No or multiple choice

Reusable - create it once and the questions will be included in all new onboards

Improved NetSuite Integration now available

What's new ✨

Deputy Premium and Enterprise now integrate directly from within NetSuite.

  • Synchronise your NetSuite employees - Add and update employees directly in Deputy from NetSuite and vice versa.
  • Import Timesheet data - From NetSuite, you are now able to import timesheet data directly for processing in NetSuite SuitePeople.
  • Import Deputy Locations and Pay Rates - Import Locations and Pay Rates to apply them directly to your new or existing employees in SuitePeople and have that synchronise back to Deputy automatically.


Why

NetSuite is popular with some of the larger Deputy customers and prospects but has never really had an easy-to-set-up integration before. A more in-depth integration makes it easier than ever to get timesheet data across to NetSuite, ready to pay your employees.

How to use it

The improved integration can now be installed directly from the Suite Apps marketplace in NetSuite.

Go paperless & onboard new hires with our new UK Employee Onboarding experience

What's new ✨ Enterprise accounts - coming next month!

Customers in the UK can now invite new hires to complete their own details to self-onboard! Deputy automatically collects the following information as soon as you send an onboarding invitation:

  • Personal and emergency contact
  • Bank information for direct deposit pay
  • New starter form, including national insurance number, student loan and P45
  • Right to work details

Need more documents from new starters? You can request important documents like training certifications / licences and send out employment forms like company handbooks and contracts to capture digital signatures from your new hires, which they can provide in Deputy, using any device.

Why 🤔

Give your new hires a great first impression by simplifying and digitising the onboarding experience so they can easily complete employment forms on the go.

You'll be able to collect the necessary information and documents within a day which gets your new hires rostered faster, and allows you to pay them as soon as their first shift ends.

How to get it 🧪

For customers in the UK, this feature is available in BETA over the next week. To start using employee onboarding, go to the Add People button on the People page and select Onboard team member.

Leave Approval on Android ✅

What's new

It's here! You can now view leave requests straight from your Deputy Android app.

Action leave requests 🏝- Managers can now view leave requests and approve or decline on the go. You can also approve partially/date approved leave requests.

Leave balance 🔮- Compare the team member's leave balance against the leave requested to make an informed decision

Manage schedule conflicts 🙅‍♂️- View conflicts with the existing schedule & leave requests.

Others on leave 🧘- Avoid being understaffed, view if other team members are on leave during the requested period.

View Team member's Time off on iOS 🏝

What's new

We want to help managers have the full picture of who's available and who's not when scheduling their team members on mobile.

• Time Off on Schedule Week view 🗓- You can now view team member's leave and unavailability on the schedule week view. If either is not important to you, simply configure what works for you by tapping the Time Off label.

• Time Off details on Add Shift 📲- You will also see these critical details when adding a shift on iOS. If a team member is unavailable or on leave, they will not be recommended for the shift and their time off details will appear underneath their name. 

Edit an Area or Hide it ✏️- Additional goodies 🥳You can also now tap on any Area label to edit the area name or to simply hide it.


Customise how you refer to your team 🤙

What's new ✨

To better reflect the diverse nature of the Deputy community and those who use our product each day, we’ve changed the default for term for “employee” in Deputy to “team member”.  For existing customers we also have the ability for each business to customise this term, so your Deputy account can accurately reflect how you refer to and speak with your team each day. This change will be effective across our web, mobile apps and be visible for all members of your team who use Deputy.


Why 🌟

Deputy’s vision is to create thriving workplaces in every community. This change is about recognising the traditional employee-manager relationship is evolving over time, and may not exist in every business. It's also about reinforcing that a thriving business is built on mutual respect and collaboration between all members of a team, regardless of their role.

How to use it 🤓

All new customers will have the updated "team member" term applied to their account by default. For existing customers or those that would like to update the term to fit their business, we have a setting under Custom Terms in your Business Settings.
